Contemporary Art Room Gallery is proud to announce their 2nd “Contemporary” Online Art Competition for the month of October 2021. This is the open subject theme with an emphasis in contemporary art. Artists from around the world are welcome to submit their work. All visual art mediums are acceptable (painting, photography, drawing, sculpture, digital, prints, fiber art, collage or installation art) except sound and video art. All winning artists will receive a digital award certificate. First, second and third place will be largely displayed with an article about the artist and their work. Position Overview
The Office Manager is a multi-faceted role that supports the daily operations of the Facilities department and office staff, and also provides assistance to the Chief of Raffle Operations as needed. The successful Office Manager will be an enthusiastic, organized person, committed to quality and customer service, who excels at and enjoys keeping YBCA running smoothly.
Responsibilities

- Attend Facilities meetings, interdepartmental meetings, and Safety Committee meetings; take notes and follow-up on action items.
- Work with Facilities staff to resolve issues on site, contacting and scheduling vendors.
- Plan and schedule janitorial and other requests for events. Create event information sheets for janitorial staff for special events.
- Process Nexonia credit card charges monthly.
- Process and code invoices for the Finance department.
- Maintain a clean and organized kitchen area, and a well-maintained copier/supply room. Order supplies and troubleshoot equipment with Facilities staff; contact vendors as needed for repairs and support.
- Assist in the creation and implementation of building policies and procedures.
- Maintain organizational and office seating charts.
Raffle Operations
- Input raffle forms into a custom database. Process credit card orders as required.
- Monitor the customer service phone line and respond to caller questions and issues.
- Prepare bank deposits and work with Finance department staff to send tax forms to prize winners.

QUALIFICATIONS
- Minimum 2 years of related experience in administrative roles.

ABOUT THE ROLE
The Facilities team is responsible for the maintenance, repair and operations of all YBCA physical facilities. These include administrative areas, a 757-seat Theater, a 6,700 sq. ft. multi-use Forum, three Galleries, an 89-seat Screening Room, Grand Lobby, Outdoor Sculpture Court and East Garden.
PRINCIPAL RESPONSIBILITIES
- Perform preventive maintenance of YBCA site equipment according to schedule, including HVAC, plumbing, painting, electrical, and life safety systems.
- Work with the Facilities team to identify, troubleshoot, and make repairs in a timely manner to ensure the uninterrupted operations of all YBCA facilities, programs, and events.
- Schedule and adjust building temperatures and air flow using Johnson Controls Metasys software.
- Provide a high level of customer service and support to all YBCA departments as a member of the Facilities team.
- Assist with service and repair vendors on site as needed.
- Work independently and with other YBCA Facilities staff in a high quality, efficient, and friendly manner.
- Work with the Facilities team to ensure COVID-19 and general health and safety measures are implemented on site.
- Inspect and prepare rooms on site before and after programs and events.
- Support YBCA staff during events and programs as needed with repairs, temperature control, and other requests.

MINIMUM REQUIREMENTS
- High School diploma or GED. Technical School certificate is a plus.
- At least 2 years relevant experience in facilities and/or building maintenance.
- Ability to perform skilled tasks without direct supervision; carry out and complete regularly scheduled ongoing maintenance and upkeep tasks.
- Basic proficiency with PC Windows, Google mail and calendar, MS Office.
- Demonstrated experience in completing multiple projects effectively within deadlines.
- Ability to work effectively with people of diverse cultural backgrounds.
- Ability to perform heavy manual labor for extended periods, according to CAL/OSHA guidelines for health and safety.

POSITION DESCRIPTION
The Deputy Director for Programs and Engagement reports to the Executive Director and is a vital member of the senior leadership team. The position is responsible for the vision, planning, conceptualization, and implementation of programs and initiatives that serve to connect Bay Area, national and international artists and audiences to Headlands Center for the Arts (Headlands). In consultation with the Executive Director, the Deputy Director for Programs and Engagement will be responsible for onsite and offsite programs and shape digital initiatives, branding and voice for the organization. This person is responsible for creating a coordinated approach for the program, developing strategic collaborations within Headlands as well as outside partnerships that advance the reach, impact, relevancy, and variety of programs. The Deputy Director for Programs and Engagement will effectively lead the Programs and Communications and Digital teams to ensure that organizational goals are being met with the values of equity and excellence in mind.
The Deputy Director for Programs and Engagement works with stakeholders at every level of the organization, including the Board of Directors, Executive Director, Deputy Director for Operations, Director of Communications and Digital, and Senior Managers across every team to present and advocate for the highest level quality and care in Headlands’ creative pursuits.

Artists Programs

- Oversee all aspects of the Commissions Program including artists selection, project management, production and presentation, and audience engagement
Public Programs and Audience Engagement
- Responsible for the overall vision and implementation of all public programs including exhibitions, workshops, works in progress showings, and onsite and off-site projects.
- Responsible for envisioning and implementing a clear, robust, and engaging season of programs that attract and engage public audiences and are in line with creating more opportunities for the new and broad audiences engaged with Headlands.
- Work closely with the Executive Director and Director of Communications and Digital to implement audience engagement strategies as well as communications and marketing plans that are appropriate for the programming
- Deliver on program earned income goals and manage expense budgets as they relate to all program-related activities
- Liaise with artists, as appropriate, to ensure maximum visibility and public facing opportunities for artist and organizational exposure and impact
- Serve as a liaison to the Audience Engagement Committee, select members of the Board of Directors and Advisory Council
Administration and Leadership
- Oversee Programs and Communications and Digital teams and foster a culture of collaboration and experimentation
- Alongside Executive Director and Communications and Digital Director, develop and advocate for a welcoming and clear institutional voice
- Oversee the development and ongoing assessment of digital platforms that connect new and existing audiences, as well as Headlands’ current and alumni artists, to Headlands resources

The Facilities Assistant plays a key role in making the Headlands campus function, from daily facilities upkeep and planning to event and programs support. Working under the supervision of the Facilities Director, the Facilities Assistant provides care and maintenance for Headlands’ seven historic buildings and grounds as well as support for public programs and special events through a robust and coordinated effort as a core member of the Facilities team. The job includes a range of dynamic responsibilities, from janitorial work to basic plumbing and carpentry, waste management, and other activities. The Facilities Assistant also works with the Facilities Coordinator on a wide range of facilities and special projects.
