New Conservatory Theatre Center is hiring a part time Business Manager

Position Overview
The Business Manager is responsible for managing all financial aspects of the organization. This position works closely with the Executive Director to implement financial systems and controls. The Business Manager handles all banking, insurance, and payroll matters for the company and is the primary liaison with our health care insurance provider, our payroll system, our bank, and other outside vendors.

Responsibilities include but are not limited to:

• Manage/file payroll, currently through ADP. Issue W2s and 1099’s at year end according to tax requirements
• Administer all banking & bank reconciliations. Manage all aspects of deposits: file deposit slips, deliver deposit to bank. Reconcile bank accounts monthly.
• Box office/fundraising/enrollment reconciliations
• Deposits/Wire Transfers and cash disbursements
• Insurance-Health/Liability/Workers Comp
• Workers Comp Audit
• Prepare monthly financial statements
• Preparation for annual audit with outside auditor
• File annual returns and forms such as Form 990/199 and others
• Cash Management
• Point person for employee programs such as commuter checks
• Accounts receivable and accounts payable: Enter and reconcile cash, check, and credit card deposits. Process and print check requests
• Manage restricted contributions.

Qualifications:
• A Bachelor’s degree is preferred (or equivalent experience) in business administration or finance
• Experience (2 or more years) functioning in a financial role. Non-profit organization preferred

• Superior organizational skills; a work style that is thorough, accurate and detail-oriented;
• Sound judgment and superior ability to solve problems creatively and effectively.

Theme: Art Works Downtown invites visual artists to submit artworks using the motif of plants and flowers as compositional elements or metaphors to convey a feeling or communicate a message. The exhibit intends to celebrate spring by showcasing an artistic garden of varied approaches to, interpretations of, and expression through, our relationship to plants.

Artwork Requirements:

  • San Francisco Bay Area artists only (artist must live within 100 miles from San Rafael, California). Refunds will not be given to those who apply but don’t qualify.
  • Size limit: artwork must not exceed 72” including frame, stand, and all materials.
  • Botanically accurate rendering is welcome, but not required. This exhibit may also include abstracts, allegories, design, and more.
  • Open to all visual arts media including sculpture. Video artists must include dimensions of equipment in submission and supply all equipment—including headphones—for the exhibition. Projections are prohibited.
  • Original artwork only. No giclées or reproductions. Editions are acceptable if they are original works such as printmaking, photography or limited original digital art.
  • Images of explicit sexual content or violence will not be considered.
  • Submissions must not have previously exhibited in the AWD 1337 Gallery.
  • Artwork must be for sale.

Delivery of Accepted Work: 
Work(s) must be hand delivered to Art Works Downtown 1337 Fourth St., San Rafael between the hours stated under Exhibition Calendar. All work must be ready for installation. Wall hung work must be securely wired. Artwork must be easy–and ready–to install. No substitutes will be accepted for works approved by the juror. Please also deliver an artist statement and resume for the exhibition binder. We do not print these materials for you. The artist must complete and sign the Consignment Contract during delivery. If a representative of the artist delivers, the artist must call ahead to give the representative’s name. Apply only if you can arrange delivery on the specified date. Please note that other artists will deliver and pick up during the same hours. You may need to wait for staff to finish processing other artists. Pick Up:

Sales:
Art Works Downtown (AWD) accepts a 40% donation upon sale. AWD processes sales as follows. All checks and credit card sales will be made payable to Art Works Downtown. AWD then reports the sales tax and passes the net sale to the artist. The artist is responsible for donating 40% of the net sale total to AWD. It is not the artist’s responsibility to report sales tax. All sold artworks will remain on display until the end of the exhibition. Patrons may retrieve their artwork when the exhibit ends. Sales will be paid to artists as soon as possible after the exhibition ends.
 
Liability and Image use Regarding Work Submitted:
Precaution will be taken to safeguard all work from loss or damage, but neither Art Works Downtown nor anyone connected with this exhibition will be responsible for loss or damage from any cause. Artist permits AWD to use images(s) of accepted works for AWD promotions.

JOB SUMMARY:

 

The Director of Development leads a team of five in the design and deployment of SFFILM’s fundraising activities and operations for individual, corporate, foundation, and government support. The Director is a member of SFFILM’s senior leadership team and will work closely with the Executive Director, colleagues, and Board of Directors to achieve organizational goals. The Director will create and execute annual and multi-year philanthropic strategies to increase contributed revenue from individual donors, corporate partners and foundations. This position, in collaboration with the Executive Director and the Executive Team, will be responsible for stewarding and soliciting current and prospective Board Members and major donors.  The Director will also be responsible for several fundraising events, including SFFILM’s annual fundraiser Awards Night.

 

The Director of Development supports SFFILM’s commitment to attracting, retaining, and engaging mission and values aligned relationships and partnerships to support our work through financial contributions and otherwise. This position works extended hours including evenings and weekends at points throughout the year. Travel will be required on occasion.

 

RESPONSIBILITIES:

 

●  Lead a team of five, including three direct reports (Deputy Director of Development, Associate Director of Strategic Partnerships, Institutional Giving Manager).

In partnership with the Executive Director, provide strategic and visionary leadership to create a development plan to maintain and grow annual fundraising goals in contributed revenue and membership support.
●  Oversee cultivation, solicitation, and stewardship of individual, corporate, and foundation/government donors, including securing, preparing for, and proactively following up on cultivation meetings, proposals, and reports.

●  Maintain a portfolio of major gift individual donors and prospects; communicate with portfolio through face-to-face solicitation and stewardship meetings, as well as written strategies.

●  Guide the Membership program to meet annual goals and migrate donors up the loyalty ladder.

●  In collaboration with the Executive team, oversee Board member relationships and communication, including prospecting and cultivating new Board Members.

●  Lead the design, planning, and execution of SFFILM Awards Night and all other fundraising and cultivation events, to attract and engage new and existing funders and audiences.

Be visible and accessible to the local philanthropic community, represent SFFILM initiatives by cultivating and deepening donor relationships .

●  Work with Development team on screening and preparing profiles of current and prospective members and donors; establish best practices for funder research processes; and oversee the maintenance of donor lists, applied data analytics, and moves management tracking.

Work with Board Development Chair(s) to advance organizational fundraising; help lead Board Development Committee meetings and support Board Development Chair(s) to present at Board of Directors meetings.
●  Create and manage the Development budget

Lead monthly revenue tracking and planning meetings with the Executive Director, report on progress toward goals to Executive Director and Board, including gifts, pledges, and cash-flow projections.
Oversee coordination with the Finance department, ensure accurate and aligned revenue tracking in the donor CRM and Quickbooks database, and maintain compliance standards for funding sources.
● Oversee coordination with the Communications department, and collaborate on materials and marketing strategies for all fundraising activities.

Recruit, nurture and motivate a strong professional team.
●  Other duties and special projects as defined.

 

QUALIFICATIONS

 

●  Successful leadership of a Development team, achieving individual and institutional fundraising goals in a nonprofit organization with annual support of least $6 million.

Five to seven years of direct experience managing fundraising portfolios with demonstrated success in closing gifts of $10,000-$500,000 and above..
Familiarity with the Bay Area philanthropic community and national giving landscape.
●  Ability to conceive, plan, and execute a major gifts program, including annual giving, and special events.

Experience with developing and maintaining achievable and ambitious financial projections and budgets;
●  Capable of inspiring support from a variety of constituent groups, specifically in a film, media, arts, or culture organization.

●  Extensive donor database experience highly desired, preferably with DonorPerfect.

●  Appreciation for fundraising ethics and respect for confidentiality of donor information.

●  Superior interpersonal skills and ability to communicate professionally with colleagues, donors and other stakeholders.

●      Excellent oral and written communication skills, persuasive presentation and negotiation abilities.

●  Strong organizational skills and ability to prioritize workload in a timely manner to complete assignments when faced with many deadlines and competing requirements in a fast-paced environment.

JOB DESCRIPTION

POSITION:                    Guest Office Manager

SUMMARY:                 

The Guest Office Manager supervises the budget and department responsible for all communication and arrangements for visiting guests at the SF International Film Festival (including filmmakers, speakers, industry, and jury). Must have excellent communication skills, as well as experience in guest/artist relations, budget management, and staff oversight. Film festival experience is required.

 

This is a full-time temporary role from February 14 – May 10, paid at an hourly rate. This role has the expectation of some overtime pre-festival, with a high volume of overtime expected during the SFFILM Festival (April 21-May 1).

Covid-19 Safety: Seasonal staff at the 2022 SFFILM Festival may be required to engage in public-facing roles and thus are required to provide proof of vaccination for employment.

PRINCIPAL DUTIES:

●      Supervises all activities of the Guest Office department, including managing and allocation of tasks to Filmmaker Liaison(s) and Guest Office Assistants.

●      Manage department budget, working closely with the Director of Programming, to ensure hospitality expenses remain within budget.

●      Oversee communications for all festival guests, including personal itineraries, updating invitations and welcome letters, creating and disseminating welcome packs, and overseeing SFFILM Guests website.

●      Oversee accommodation for all festival guests, including liaising with multiple hotels, assigning accommodations to guests, maintaining master hotel grid, and overseeing airfare reimbursements.

●      Ensure all festival benefits are available to filmmakers, assisting with ticket requests and communication with producers/studios/distributors, and overseeing internal holds are efficiently managed.

●      Manage all guest check-in for the duration of the festival.

●      Project Manage Industry Days on behalf of Programming with support from other departments. Industry Days is a two day in-person event providing networking and panel discussions for 100+ filmmakers.

●      Oversees the creation and dissemination of Industry Delegate Guide

●      Ensure representatives from Programming or Guest Office are present for screenings with guests in attendance to liaison between Guests, Programmers, Theater Operations, and other Staff.

●      Work with the Development team on hospitality partnerships and guest-related in-kind donations and with the Transportation department to ensure smooth overall communication between Guest Office and Transportation.

●      Support Tech Manager to schedule virtual events throughout the festival.

●      Works with the Special Events Manager and Development to manage guest invitations to receptions, dinners, and other guest hospitality.

●      Ensure full reconciliation of expenses for the Guest Office are completed before the end of contract, along with a complete wrap report.

●      Work with the Programming Team to ensure Thank Yous are dispatched upon the festival’s conclusion to key constituents.

 

EXPERIENCE/SKILLS REQUIRED:

●      Excellent communication skills.

●      Experience in budget and staff management.

●      Ability to juggle multiple tasks and competing timelines.

●      Excellent decision-making and creative problem-solving skills.

●      Ability to be welcoming and comfortable interacting with people with vastly different backgrounds and roles.

●      Previous Guest/Artist Relations or Film Industry experience; Film Festival experience required.
