DEAR awards 4 to 6 residencies annually to individual artists or to groups of artists collaborating on a single project.

Each Residency Provide

  • Full-time access (24/7) of 1 to 4 weeks to rehearsal studio (40’ x 42” sprung dance floor with Marley floor covering with 20’ ceilings and two 9-foot concert grand pianos) and fabrication shop. Residency weeks may be contiguous or spread out over a period of months.
  • Access to state of the art equipment (sound, lighting, projection, and recording)
  • A production stipend (currently up to $1500)
  • Technical, financial, marketing, and managerial consultations
  • Fiscal sponsorship (if needed)
  • Performance opportunities (50% of Box Office)

Operations Coordinator

Reports To:  President & CEO

Location: Oakland office, hybrid remote/in office schedule

PRIMARY RESPONSIBILITY

The Operations Coordinator is responsible for all aspects of operations at California Humanities, including bookkeeping, facility management, technology support, systems management, and office administration.

ACCOUNTING

·         Process vendor bills and ensure proper coding of expenses per instructions provided, using Quickbooks and Bill.com.

·         Track payments made to independent contractors.

·         Record all grants/contracts to be paid.

·         Manage W-9s and other documents for all new vendors; file W-9s for independent contractors.

·         Coordinate grant payments with accountant and Grants Manager.

·         Keep track of every financial transaction, including invoices and records of payment, for financial management and audit purposes.

·         Work with California Humanities accountants on financial procedures and the annual audit, as necessary

FACILITIES MANAGEMENT, TECHNOLOGY SUPPORT AND SYSTEMS MANAGEMENT

·         Manage all aspects of California Humanities facilities and troubleshoot any issues that arise; monitor leases for office with CEO.

·         Manage and oversee the development and implementation of appropriate technological strategies for California Humanities within available resources. 

·         Work with contracted IT support firm to ensure that California Humanities has up to date and functioning computer and IT services, coordinate support requests with staff. 

·         Develop and maintain emergency plan for Oakland office, and train staff on implementation annually.

·         Maintain office equipment and phone systems in the Oakland office and for remote employees as required.

·         Provide technical assistance and support to staff with regard to computer and phone systems, as well as all office equipment.

·         Manage all operational systems used by California Humanities (email, calendar, server, conference call vendor, file sharing, etc.); work with appropriate staff to research and select all new requested systems; continually reevaluate current systems to ensure California Humanities is utilizing the best systems and receiving the best pricing available.

·         Serve as liaison between California Humanities and any consultants/vendors who provide operational services and support.

·         Maintain record of any fixed assets purchased (computers, furniture, etc.).

·         Ensure that all offices remain at operational capacity with regard to technology, equipment, and facilities, including the appearance of offices; responsible for construction and placement of any new office furniture; responsible for storage areas (both on- and off-site), as well as upkeep and cleanliness of all storage areas.

·         Attend Board meetings and prepare reports for board members as requested by the CEO.

·         Work with appropriate staff to provide technology implementation and oversight for the production of events and programs, as needed.

GENERAL AND OPERATIONS AND ADMINISTRATIVE SUPPORT

·         Primary responsibility for handling California Humanities’ mail and registering incoming checks as part of the organization’s accounting function.

·         Primary responsibility for ordering and reorganizing office supplies and print materials (letterhead, business cards, collateral), and ensuring the office remains at operational capacity with regards to supplies.

·         Manage and update office calendar to keep all staff abreast of California Humanities’ activities.

·         Collect and file monthly advocacy timesheets from all staff, forward these timesheets quarterly to accounting.

·         Oversee California Humanities staff retreats, celebrations and other social gatherings.

·         Provide general office oversight and first point of contact for general phone and email inquiries.

Qualifications:

·         Minimum of 4-5 years of experience in an office, preferably in a non-profit environment.

·         Experience with technology systems and facilities management.

·         Experience with Quickbooks, Bill.com, and Microsoft Office 365.

·         Ability to juggle multiple tasks, be responsive to staff requests, and understand how to prioritize competing needs.

Manager of Public Programs

JOB SUMMARY 

Under minimal supervision, the Manager of Public Programs oversees the development, execution, and evaluation of programs and partnerships designed to improve the public’s, SF Ballet patrons’, and SF Ballet donors’ access to and knowledge of ballet as part of an institutional strategy to increase revenue through audience development and retention. Crafts an inclusive and pedagogically sound framework for adult continuing education and lifelong learning and defines innovative strategies for engagement and learning, basing their work on current research and best practices in the fields of dance education, educational psychology, and curriculum design. Directs the strategy, implementation, and evaluation of both broadly accessible and niche audience development events designed to attract and cultivate target audiences. Serves as an advocate for dance literacy within the institution (including SF Ballet staff and SF Ballet School students) and in the wider regional and national dance communities. Participates in crafting educational content for website, publications, and other channels.

Job Duties and Responsibilities

  • Program design, implementation, and evaluation: Conceives programs, schedules events, contracts guest speakers/participants, drafts program descriptions, and oversees logistics of all on-site programs. In close collaboration with the Education team, designs new public programs based on audience interest, data, and emerging topics and fields in dance scholarship and current events. Works with Education team members to create and implement online and event-based educational experiences designed to engage attending audiences as well as SF Ballet’s online communities. Evaluates programs to ensure quality and that they meet SF Ballet’s program goals and organizational mission. Continuing SFB’s commitment to learners of all ages, curates and produces existing programs including:
  1. Pre-performance talks (Meet the Artist Conversations and Pointes of View Lectures) in both in-person and digital (video/audio) formats
  2. Adult Education classes and events, including Ballet Insights, Exploring Ballet, Ballet Basics, Ballet Chat, and Ballet Book Club
  3. Visiting Scholar program
  4. Scholar-in-Residence program
  5. Themed educational events and symposia
  • Participates in the development and implementation of diverse and inclusive programming that welcomes underrepresented groups and patrons of racially and culturally diverse backgrounds and experiences to build a deeper capacity for connecting with the art form. Develops partnerships with peer organizations and adult education programs to develop ballet literacy across SF Bay Area.
  • Primary Educator: Serves as primary educator for programs aimed at audience members and donors, including but not limited to delivering lectures on a variety of topics in ballet history, and moderating artist interviews and panel discussions. Participates in cross-functional audience development, engagement, and institutional initiatives, providing adult education content and programming as necessary.
  • Special Events and Donor Programs: Together with Individual Giving and Special Events teams, works to design in-person and digital events and membership benefits that help donors more deeply appreciate the art form. Those programs may include Ballet History Lectures, studio rehearsal talkbacks, pre-curtain dinner interviews, and other yet-to-be conceived events aimed at deepening knowledge and engagement.
  • Communications: Primary contact for guest speakers, scholars, and participants in programs. Participates in crafting and evaluating educational content designed for the website, apps, and other print and digital channels. Manages marketing and ticketing for public programs in collaboration with Marketing team.

Under supervision of the Education Programs Manager and the Associate Director of Education, Dance in Schools and Communities (DISC) Teaching Artists are responsible for conducting high-quality, standards-based, culturally responsive dance education classes for SF Ballet’s DISC residency program and youth education programs. DISC Teaching Artists are committed to learning and teaching the DISC curriculum and delivering engaging age appropriate dance instruction for Pre-Kindergarten through 12th grade students in diverse educational settings.

SF Ballet’s Education & Training Department is currently seeking qualified and versatile dance teaching artists to join the education team for the 2021-2022 school year. This includes planning with DISC staff and direct instruction with dance students of all ages.
  • Researches and develops standards-based lesson plans suitable for each grade level. Reviews, revises, and edits lesson and unit plans as needed to ensure a high-quality, standards-based, sequential residency. Develops appropriate assessment techniques.
  • Participates in ongoing DISC professional development activities, orientations, workshops, and meetings held in-person and on Zoom.
  • Performs required administrative duties such as submitting weekly time sheets, lesson plans, school site residency reports, assessments and evaluations. Regular communication with SFB staff regarding all aspects of the DISC Residency
  • Program and timely response to communications from supervisors.
  • Develops and maintains ongoing written and verbal communication with SFUSD school site administration, classroom teachers, and arts coordinators.
  • Presentation of a professional demeanor that appropriately represents DISC and SF Ballet. As a productive member of the DISC team, forms positive relationships with youth participants, classroom teachers, teaching artists, and accompanists.

Related Experience Required: 

  • Minimum of five (5) years of experience as a teaching artist working in collaborative educational PK-12 environments with diverse student populations, from a variety of socio-economic backgrounds, age groups, and abilities. Experience working in SFUSD schools with ELL, Special Education, Special Day Classes, and/or Bilingual classes preferred.
  • Extensive experience teaching two or more of the following: ballet, creative movement, modern, jazz, contemporary, hip-hop, musical theatre, cultural or world dances.
  • We are looking for dedicated dance teaching artists specializing in early education for PK and TK students and/or after-school classes for K-5 students.
  • Completion of Luna Dance Institute courses and professional learning preferred.
  • Degree in dance or dance education preferred but not required.
  • Experience teaching with a live musician/percussionist and prerecorded music.
  • Knowledge of dance terminology, California VAPA Learning Standards, Common Core State Standards, and national standards.
  • Proficiency at lesson plan development and execution for grades PK-12. Familiarity with student evaluation and assessment techniques.
  • Application of choreographic principles and concepts appropriate for children and youth.

Position Overview

The Office Manager is a multi-faceted role that supports the daily operations of the Facilities department and office staff, and also provides assistance to the Chief of Raffle Operations as needed.  The successful Office Manager will be an enthusiastic, organized person, committed to quality and customer service, who excels at and enjoys keeping YBCA running smoothly.

 

Responsibilities

Facilities

  • Attend Facilities meetings, interdepartmental meetings, and Safety Committee meetings; take notes and follow-up on action items.
  • Work with Facilities staff to resolve issues on site, contacting and scheduling vendors.
  • Plan and schedule janitorial and other requests for events. Create event information sheets for janitorial staff for special events.
  • Process Nexonia credit card charges monthly.
  • Process and code invoices for the Finance department.
  • Maintain a clean and organized kitchen area, and a well-maintained copier/supply room. Order supplies and troubleshoot equipment with Facilities staff; contact vendors as needed for repairs and support.
  • Assist in the creation and implementation of building policies and procedures.
  • Maintain organizational and office seating charts.

 

Raffle Operations

  • Input raffle forms into a custom database.  Process credit card orders as required.
  • Monitor the customer service phone line and respond to caller questions and issues.
  • Prepare bank deposits and work with Finance department staff to send tax forms to prize winners.
  • Other duties as assigned.

QUALIFICATIONS

  • Minimum 2 years of related experience in administrative roles.
  • Facilities administrative experience preferred.
  • Experience / interest in working in a non-profit, arts or arts-related organization desired.
  • Self-motivated, proactive, detail-oriented, with the ability to work independently, collaborate and follow through with projects.
  • Strong organizational skills
  • Effective written and verbal communication skills.
  • High level of interpersonal skills and judgment to handle sensitive and confidential information.
  • Demonstrated ability to work well with people of diverse backgrounds and roles.
  • Ability to prioritize assignments and work under the pressure of tight deadlines.
  • Proficiency with Windows and Macintosh platforms, G-Suite (Gmail, calendar, and google drive), Excel, MS Word) required; database knowledge, Asana, Nexonia, Expensify, USI or other database a plus.
  • Familiarity and ability to troubleshoot fax, postage, and copy machines.
