Gamelan Sekar Jaya (GSJ) is a nonprofit organization dedicated to the study and presentation of Balinese performing arts. GSJ’s mission is to foster artistic exchange between Bali and the United States through residencies, workshops, performances, and the creation of innovative new works of music and dance; and to share the excitement of this exchange with diverse audiences in California, the US, and abroad. GSJ is currently seeking a Program and Administrative Assistant to ensure the successful operation of GSJ’s unique intercultural arts programming by handling day to day office responsibilities. The Program and Administrative Assistant will report directly to the General Manager, and regularly assist the General Manager and Operations Manager with program, communications, and development tasks. This is a part-time position at 20 hours per week with potential for additional hours in busy times. The Program and Administrative Assistant will be expected to work at least three days per week. Hours and specific days are flexible. The position is based out of our “Banjar” (community center) in Berkeley, CA. All GSJ programming is currently remote. This position will work remotely until public health guidelines allow for in-person office work, except when duties occasionally require an on-site visit.

Performances and rehearsal visits necessitate weekend and/or evening work at least once per week during the performance season (generally September-June). 

Job Responsibilities

  • Ensure smooth day-of logistics for performances, classes, and events
  • Respond professionally to general inquiries and/or direct inquiries to relevant parties
  • Process donations (log in Salesforce, ensure proper follow-up)
  • Process and log bill payments, bank deposits and reimbursements
  • Scheduling and calendar maintenance for rehearsals and events.
  • GSJ website and member intranet maintenance, including updating events and classes
  • Member administration, tracking member contributions and processing reimbursements
  • Take ownership of GSJ social media presence and spearhead compelling digital and print campaigns
  • Prepare and send mass paper/electronic mailings including fund letters, surveys, etc
  • Coordinate regular facility maintenance and serve as point of contact with subtenants
  • Attend weekly staff check-ins and participate in a collaborative work culture
  • Support General Manager, and Operations Manager, with occasional administrative and/or logistical tasks

Qualifications

  • Strong organizational skills with excellent record keeping and good attention to details
  • Ability to independently track and manage multiple projects simultaneously
  • Good verbal and written communication skills
  • Minimum technical skills must include basic familiarity with Mac and Windows operating systems, Word, Excel, and Google Suite. Knowledge of any or all of the following is a plus: Salesforce, Quickbooks, Mailchimp, Squarespace, Adobe Suite.
  • Good customer service skills including professional phone manner and email etiquette
  • Expertise in developing marketing strategies and utilizing social media platforms to reach new audiences
  • Experience working and communicating cross-culturally
  • Flexibility and willingness to work at least one night and/or weekend day per week during performance seasons.

Nice-to-Have

  • 2+ years experience in an administrative assistant and/or program management role
  • Experience in a non-profit arts organization
  • Interest in Balinese or Indonesian arts
  • Indonesian language skills

This is a part-time .5 FTE position at 20 hours per week, with an hourly wage of $18 to $20 (depending on experience), a monthly benefits stipend, and opportunities for additional hours during busy periods. GSJ employees receive paid time off and 13 paid holidays annually. PTO and holidays are commensurate with the position’s FTE rate, in this case 4 hours of PTO per month and 4 paid hours for each paid holiday. The GSJ work environment is dynamic, creative, and supportive, with great flexibility.
