PRODUCTION MANAGER JOB DESCRIPTION 
Core Responsibilities

The Production Manager works collaboratively with the Artistic Director, Associate AD, Managing Director, and other staff to ensure that each artist and technician has what they need and is able to complete their piece of the puzzle. Re The PM is mindful about caring for both the physical and interpersonal space where theater is made. They lead and facilitate clear communication, problem-solving, and strategic thinking, both within their own job and among the teams they supervise.  

Calendar:

• With AD and MD, create season calendar, manage updates, and maintain organization’s company Google calendar
  Contracts            
• Recruit and hire production team members: designers, stage managers, board ops, running crew, final decisions subject to approval of AD.
• Maintain payment schedules in coordination with Accounting Department and MD
• Manage timesheet reporting between SM and Accounting Department
• Generate and process all artist contracts
• Process requests from designers for materials advances and budget changes 

  Budgeting

• Create production budgets for theater maintenance, mainstage productions, and reading series in collaboration with Managing Director
• Maintain production budgets through direct oversight of designers and technicians
• Run budget scenarios for season planning, union negotiations, and other organizational decisions
  
  Production-specific roles
• Supervise designers and production staff (TD, ME, overhire, etc) throughout the process
• Create and share  documentation for each production: contact sheet, production calendar, load-in/tech schedule
• Schedule and run production meetings, with periodic check-ins on rehearsal and tech process
• Plan and supervise load-in and tech, maintain communication within the team, solve problems as needed, and run tech notes
• Manage catering (tech week bagels, cast/crew dinners, etc.)
• Assist Marketing Director with: photographer/videographer scheduling / support technical needs for photo/video shoots
• Cleaning, Maintenance, and Re-Stocking Stage Management and First Aid Supplies
• Arrange repairs to theatrical equipment as needed
• Rehearsal space before each rehearsal process starts
  
  Theater before each load-in
• Documentation
• Maintain Database of Designers, Stage Managers and Technicians
• Maintain Stock Inventories
• Plan annual dark week cleaning and equipment/instrument repair

  Special Events/Rentals:

• Approve dates for special events and rentals 
• Orient renters to Shotgun spaces, coordinate tech needs, schedule tech and rehearsal time
• Hire in-house technicians, and coordinate with technicians at outside spaces for offsite events
