Overview
The Festival HQ & Lounge Manager is a twofold role, responsible for the design, build out, and management of both the hospitality lounges and staff working spaces during the SFFILM Festival, supported by the HQ & Lounge team. For the 2022 Festival, this will mean managing hospitality activity at SFFILM’s year round office space as well as additional satellite venues, with this role responsible for the creation of a welcoming aesthetic at both, ensuring smooth operations for all festival staff and guests, and serving as a primary liaison to venue partners. The role will also manage temporary staff office spaces for the duration of the Festival, including establishing a primary Festival HQ at SFFILM’s year round office along with satellite offices spaces at additional venues where needed.

The HQ & Lounge Manager will work closely with the Health and Safety Coordinator to ensure all hospitality and office spaces are adhering to COVID-19 safety protocols. This team will also work with the Director of Operations to ensure all spaces are accessible to patrons with a variety of accommodation needs. The SFFILM Festival often creates partnerships with new hospitality venues each festival, so the Festival HQ & Lounge Manager is expected to be flexible and nimble in shifting priorities and plans, especially in 2022 when we will be monitoring evolving guidelines and practices around COVID-19 policies leading up to the festival.

This is a full-time temporary role from February 21 – May 13, at an hourly rate. This role has the expectation of some overtime required pre-festival, with overtime hours increasing during the SFFILM Festival (April 21 – May 1).

Responsibilities
Create an effective design plan for each hospitality and office space, coordinating closely with the Office Manager and SFFILM Makers/Filmhouse team to establish functional spaces in the year-round SFFILM offices
Manage an Assistant Manager and Coordinator, as well as HQ & Lounge volunteers
Work closely with the Director of Operations and Festival Operations Manager on all pre-Festival planning, scheduling, and contracts for the external Festival Lounge and satellite venue offices, including securing any necessary licenses and permits 
Work with the Development department to procure food and beverage donations for Festival HQ and Lounge, and to fulfill sponsorship contracts in those spaces, including managing deliveries, leading activations, and programming sponsored events
Program and operationally plan for public and badge-holder events and entertainment in Lounge spaces such as mixers, receptions, and panels – all in line with the Festival’s Health and Safety plan
Work with Tech and Media Manager on AV equipment needs, load in, and load out, including tech staffing when necessary
Work with Communications and other teams as needed to ensure HQ and Lounge information is properly disseminated to the public as needed, including accessibility information and communication of COVID-19 safety protocols
Work with multiple departments to manage and communicate a schedule of Festival Lounge events, including private receptions when applicable
Act as host for festival guests, maintaining clean, well-stocked hospitality spaces
Manage the Festival Lounge bar when necessary, including tracking inventory and staffing volunteer bartenders 
Procure, build out, and maintain satellite venue offices with the essential equipment on-site staff need to operate efficiently (printers, WiFi, tables, etc.), 
Work with all departments to ensure office functions are being met, including incorporating potential Green Room, Press Line, and COVID-19 testing spaces into planning layouts at according venues
Work closely with the Director of Operations and others on accessibility at all venues
Act as office manager for temporary office spaces, clearly communicating policies and procedures to staff, and maintaining clean, well-stocked office spaces through organizing inventory
Procure all furniture and décor for Festival HQ, Lounges, and all satellite office spaces
Work with the Production Manager to project manage the movement of furniture, product, equipment, and supplies to temporary venues throughout the Festival 
Work with the Production Manager to schedule Production Assistant support in the HQ and offices as needed
Manage physical set-up and breakdown of these spaces, including delivery, return, and payment of all rented furniture and equipment
Manage budgets and maintain thorough tracking of all expenses incurred during the festival
Create a written wrap-report and summary of all necessary timeline info, including a summary of outreach timing to sponsors and artists regarding programming events and decor acquisition
Qualifications
Excellent communication and customer service skills
Experience managing a team, with strong ability to delegate 
Experience designing, physically producing, and managing functional and welcoming public spaces on a tight budget, including the programming and planning of events.
Experience with project management, scheduling, and organization systems like Excel 
Excellent decision-making and creative problem-solving skills
Ability to juggle multiple tasks and deadlines across several Festival spaces while maintaining high quality of work and a positive attitude 
Experience navigating events in a COVID-19 landscape, flexibly pivoting operational plans and logistics to meet evolving Health and Safety standards
At ease interacting with people with vastly different backgrounds and roles
Comfortable with the heavy lifting and labor inherent in loading in and out festival sites
Comfort in Photoshop, Visio, PowerPoint/Keynote a plus
Familiarity with Bay Area event venues, artists, and performers a plus
Familiarity with permitting and licenses in the Bay Area a plus

Overview
Reporting to the Director of Operations, the Tech and Media manager is responsible for executing all technical and audio-visual requirements related to the 2022 SFFILM Festival, as well as supporting creation, management & collection, and successful display of specific media assets. This includes planning for and renting all Festival A/V equipment, installation execution, and successful hiring, staffing, and management of tech support, projection, and audio-visual personnel within budget. The Tech and Media Manager will work closely with the Communication and Programming Departments, including the Print Traffic Manager, in the solicitation and creation of specific media assets for exhibition and events, as well as the collection of video capture from Festival events.

This position is expected to provide on-site support for the 10 day, in-person SFFILM Festival in venues across the San Francisco Bay Area, as well as several launch events, and to work in accordance with in-office requirements as determined by organization-wide and department policies.

This is a full-time temporary role from February 7 – May 6, paid at an hourly rate. This role will have some overtime expected pre-festival, with a higher volume of overtime hours in the immediate lead up to and duration of the SFFILM Festival (April 21 – May 1).

Responsibilities
Determine, procure, install, staff, and return all technical equipment rentals for the 2022 SFFILM Festival exhibition venues, event, office and hospitality spaces, and launch events within budget
Hire, schedule, and onboard technical staff and projectionists across all Festival launch and exhibition venues
Work with Director of Operations and Production Manager on planning and executing load-ins and load-outs for all exhibition venues, as well as event, office, and lounge spaces as needed
Work with the Director of Education on technical needs related to Schools at the Festival programming
Manage and oversee specialized technical contractors providing support for enhanced programs with additional technical needs, such as Music and Film.
With the support of the Director of Operations, lead the install of accessibility devices for audiences at our exhibition venues, including identifying and working with external vendors, testing equipment, training staff, and troubleshooting during festival 
Support the Operations team in implementing audio, visual, and media playback needs identified for constituent training events, pre-Festival cultivation events, the Press Conference and Members Night, Staff and Volunteer trainings, Volunteer appreciation, and Staff celebration events
Create and maintain The Grid, a resource which serves as the bible for programming information during the festival.
Work with the Communications team, Programming team, and Print Traffic on the communication of technical needs for collection, management, and delivery of media to venues, including creating keynotes.
Liaise with technical and projection personnel at partner venues on venue-specific staff and equipment needs, as well as on tech check protocols and timing; this includes projects like projector maintenance and testing at certain historic venues
Support the integration of video capture set-ups and team needs into existing venue configurations
Work closely with the Special Events team on all technical aspects of onstage event production and special event execution
Work with the Communications team and Special Events team on the management of media for enhanced programs such as Essential SF and the Golden Gate Awards
Support the set-up and execution of virtual Q&As and conversations for exhibition in a theatrical setting, as needed
Support the triage necessary to transition live events to a virtual format, whenever required
Support ongoing technical partnerships and work with the Director of Operations to identify additional opportunities for partnership or sponsorship expansion
Participation in staff trainings and orientations
Create a written wrap-report and summary of all necessary timeline info
Qualifications
Experience setting-up and operating basic audio-visual packages including microphones and PA systems, simple live music amplification, presentation and theatrical lighting, and media playback devices
Experience managing specialized technical personnel and supporting timely equipment install and removal
Experience and comfort supporting and trouble-shooting live events and familiarity with the pressures and challenges of onstage production with high-touch constituents
Familiarity with projection technologies and challenges, including DCP
Ability to communicate clearly and consistently with people of all levels of technical sophistication and experience
Strong project management, time management, and personnel management skills
Comfort working with media editing or playback tools, including Keynote, Adobe, and FinalCut a plus
Familiarity with virtual presentation tools and technology, as well as video conferencing platforms and basic production is a plus
Able and comfortable performing heavy lifting (up to 50 lbs)
Must be proactive, communicative, and able to work with minimal supervision and a limited budget
Ability to handle multiple tasks simultaneously, to prioritize effectively, and to respond to last-minute requests
Must have a valid driver’s license and clean driving record, and be comfortable driving a van, U-Haul, or other oversized vehicle. Offer will be contingent upon approval from our insurance

The Production Manager is responsible for managing all SFFILM inventory, including storage, furniture rentals, sponsored product, operations & production equipment, and assisting the Tech department with rentals as needed. The Production Manager also manages the overall Production Assistant schedule and movement of Production vehicles across the HQ/Lounge, Special Events, and Onstage Events, while supporting the Operations leadership team with coordinating an organized system for Load In/Out. As SFFILM moves into a new office in 2022, the Production Manager will work closely with the year round Office Manager to support office set up, inventory, and organization.

This is a full-time temporary role from February 14 – May 13, at an hourly rate. This role is eligible for overtime, with peak moments both leading up to and during the festival, especially around program launch, load in, and load out. SFFILM Festival dates are April 21 – May 1.

Manage all storage spaces and inventory, including sourcing offsite storage units during the festival as needed, and acting as the main point of contact for Clutter (offsite storage services)
Work with HQ & Lounge Manager, Special Events Manager, Tech and Media Manager, and Theater Operations Manager on all furniture, tech, and production rentals for Live & Onstage Events + green rooms, Music & Film, Castro Events, HQ/Lounge, Parties, festival offices in theatres, and Members Night and Press Conference
Manage two Production Assistants, including creation of daily schedule across the HQ/Lounge, Special Events, and Onstage Events
Manage distribution of program guides, including Production Assistant schedule and vehicle rental as necessary
Work with the Festival Operations Manager and Tech and Media Manager in coordinating Load In/Out, including assisting in the management of the inventory and movement of all items and communicating necessary information to staff
Work with the Transportation and Festival Operations Managers on reserving parking meters and communication with SFMTA
Manage movements of SFFILM Production vehicles and reserved parking spots during festival, including working with staff across departments on parking meter needs, and managing those needs daily during the festival
Work with Festival Operations Manager on installation of signage in all venues as necessary 
Coordinate delivery of sponsored product to storage, working closely with Operations leadership & Development team
Support other departments in setup and breakdown of venues as needed

Overview
The Filmmaker School Visit Manager will support the Director of Education and Schools at the Festival Program by selecting, coordinating, scheduling, managing and presenting all in-person and online virtual school visits of Festival filmmaker guests to Bay Area K-12 classrooms. Films are selected to support the curriculum of a range of grade levels and subject areas, and all visits are interactive experiences with opportunities for students to engage with filmmakers, industry professionals, and subject area specialists in post-screening discussions and Q&As. Visits also allow the artists the opportunity to gain valuable feedback from younger audiences. All programs are developed in alignment with Common Core and California Educational Standards for Media Literacy. This position will also assist with additional Schools at the Festival administrative work when needed.

This is a temporary role from February 28 – May 6, starting out as part-time and becoming full-time on April 4, and is paid at an hourly rate. This role is eligible for overtime.

The Transportation Manager manages all parking, vehicles and drivers used in the movement of Festival guests, and, as resources allow, staff, and equipment. The Transportation Manager manages one full-time Assistant Manager and a full-time Festival Transportation Associate, and up to two dozen contract and volunteer drivers. This role is responsible for the training of all drivers and the coordination of all ground transportation for guests and artists during the SFFILM Festival.

Work closely with the Programming department’s Guest Office to determine all festival vehicle and driver needs 
Obtain and coordinate festival rental vehicles
Hire, train, and manage all SFFILM Transportation staff and volunteer drivers, including creation of master schedule 
Coordinate and track all festival guests’ ground transportation needs, including airport, off-site events, screenings, interviews and VIP special needs, and last minute changes and requests
Secure parking lot/parking spaces for fleet and staff during the festival, acting as main point of contact for parking vendor as needed
Work with the Festival Operations Manager and Production Manager on parking needs for vehicles and staff at each venue
Work with Finance team on festival driver payroll 
Staff the Transportation office to greet and manage drivers, and to dispatch cars during festival
Update and maintain ground transportation database
Work with the Director of Operations and Festival Operations Manager to prioritize use of transportation resources across multiple SFFILM departments
Work with the Festival Operations Manager and Production Manager to secure, reserve and assign all necessary parking spaces and meters
Work with the Health and Safety Coordinator to create a safe environment for passengers and drivers in each vehicle – ensuring the proper protective equipment is available and a plan is in place for vaccination requirements and testing as needed
Coordinate with the Theater Operations team to conduct site visits at each venue
Create and update parking and transportation maps and signage for staff and guests to use as a reference.
Maintain and oversee the festival fleet of rented and sponsored vehicles
Work with Development team to maintain any Transportation related partnerships
Manage rideshare codes, distributing and tracking as necessary
Communicate transportation protocol to all SFFILM staff and volunteers
Manage the return of all rented vehicles, and the payment of all vehicle, parking, and transportation associated vendors post-Festival
