Executive Assistant

Description

The Executive Assistant provides administrative support to the President of San Francisco Performances, assisting in all aspects of the organization’s operations with a range of activities from fundraising and administrative tasks to backstage representation at performances.

This position offers a motivated, entry level arts professional the opportunity to learn about the running of a mid-size non-profit performing arts organization. It is a critical support role that helps to further and fulfill SFP’s mission of offering the community a transformative experience and a deep connection to the arts, through the timeless power of live performance.

This half-time position (20 hours per week) reports directly to the President and works closely with the Associate Director of Development, the Senior Manager for Finance and Administration, and the Senior Manager for Artistic Planning and Production.

Development, Fundraising and Special Events

Duties and responsibilities include support for the Development department and its fundraising efforts, including recording pledges and gifts in the Tessitura database, printing and mailing donor acknowledgement letters, responding to donor inquiries and maintaining donor records. This position also assists with SFP’s donor events including the annual gala, donor receptions, and the Concert Partners program. Responsibilities include compiling guest lists, coordinating mailings, tracking RSVPs and attendance, working with vendors, and providing on-site support at events.

Board of Trustee Meetings

This role provides assistance in scheduling, preparing materials and taking notes at SFP’s bi-monthly Board of Trustee meetings, as well as other Board committee meetings.

General Administrative Support

The Executive Assistant supports the general administrative functions of SFP in tracking and updating non-profit compliance forms for local and state government agencies; keeping inventory and ordering office and kitchen supplies; opening and routing mail; and making maintenance calls, as needed for office equipment and machinery.

Backstage Support

Working with the Senior Manager for Artistic Planning and Production, this position occasionally assists in providing backstage support and artist liaison services at performances.

Qualifications

One to two years experience in a non-profit administrative role

Background in the arts

Bachelor of Arts degree, or equivalent experience, preferred

Ability to prioritize multiple responsibilities

Superior verbal and written communication skills

Ability to retain confidential information

Flexibility to work evenings and weekends

High level of computer literacy and experience with Tessitura database preferred

Strong work ethic and ability to be part of a team

 

Compensation $30.00 per hour for minimum 20 hours per week. Competitive benefits with medical and dental coverage.
