VISITOR EXPERIENCE REPRESENTATIVE 

Part-Time, Permanent

Position Summary 

The Visitor Experience Representative is an essential member of the ICA San Diego team primarily at ICA Central / Balboa Park. This person supports ICA San Diego’s mission by providing visitors a welcoming and informative experience. As the interface between the visitor and ICA’s exhibitions and programs, the Visitor Experience Representative will enhance the visitor experience by inspiring guests to engage and connect with the exhibitions and each other in new and meaningful ways.

The Visitor Experience Representative position will report directly to the Visitor Experience Manager. 

Responsibilities 

  • Create friendly, welcoming, and informative experiences for visitors
  • Follow open and close procedures
  • Prepare the gallery for exhibitions, turn on/off AV equipment, maintain artworks as needed, work with Exhibitions Manager during gallery closure installation period
  • Greet guests, callers, and vendors and provide them with current information about ICA San Diego exhibitions and programs
  • Direct visitors, callers, and vendors to appropriate staff members/departments
  • Collect and input department data; prepare reports for visitor and event attendance
  • Monitor and ensure the security of artworks and ICA spaces including employing de-escalation tactics and engaging with visitors as needed
  • Promote programming, volunteer opportunities, and events
  • Assist in the sales of memberships, education classes, and venue rentals
  • Collaborate with  ICA San Diego’s Engagement Guides and Education Department in coordinating and hosting tours, group visits, including Balboa Park Visitor Center tours
  • Periodically clean the front desk and other high touch areas in the galleries to ensure a safe, hygienic guest experience
  • Keep informed about the exhibitions on view and upcoming programs
  • Accept and record gift shop sales, donations, and membership revenue; field artwork sale inquiries during exhibitions
  • Office admin work including printing signs and gallery guides from office computers
  • Check voice messages/emails from the general ICA email and phone number and direct them to appropriate departments
  • Check physical mail at both locations and sort by appropriate department
  • Assist with check-in during special events, programs, facility rentals, education classes, and other museum events, sometimes at ICA North / Encinitas.
  • Work closely with other teams to coordinate facility upkeep including exhibitions, office & janitorial supplies, lighting, security

Required Knowledge, Skills, and Abilities 

  • Excellent customer service and communication skills
  • Familiarity with POS software/systems
  • Capable of speaking in front of large and small groups of visitors
  • Demonstrated ability to engage effectively with culturally diverse audiences
  • Be confident in using policies and procedures to exercise decisiveness in stressful situations
  • Ability to resolve or escalate visitor complaints and/or problems
  • Multitask and function as part of a team
  • Ability to adapt and be flexible to support other departments as needed
  • Must be able to work on evenings, weekends, and some holidays
  • Ability to lift up to 50 pounds with or without assistance

Preferred Knowledge, Skills, and Abilities

  • Experience with CRM software such as Salesforce
  • Experience with Adobe Creative Suite 
  • Retail experience
  • Experience with de-installing artworks and know proper care in packing artworks
  • Knowledge around painting gallery walls
  • Experience using safe practices while on ladders and hydraulic lifts
  • Experience with vinyl installation
  • Experience with power tools; power drills

Required Education and Experience 

  • High school diploma or equivalent
  • Valid California driver’s license
  • Some experience in customer service

Preferred Education and Experience 

  • Degree in art history or studio art
  • 1-2 years Customer service experience
  • Bilingual fluency, Spanish
  • Experience working in a museum, art gallery, nonprofit, or other cultural setting 

Work Environment and Physical Demands

This role will primarily be working at the front desk at both our North and Central locations. This role will also be required to work outside for certain events, especially in the Garden at our North location. Standing, walking up and incline, bending, lifting, and other physical movement will be a normal part of this role. Travel 

Limited travel within the San Diego region may be required. 

Compensation 

Hourly rate is $20/hour. This position will be scheduled between 19-26 hrs. per week. A typical shift might be 6.5 hours, Thursday through Sunday between 10AM and 5PM. Evening hours will be required for certain events. Other benefits for part-time staff include paid holidays, staff appreciation days, discounts at select Balboa Park restaurants and shops, and free admission to member museums.
