Title: Programs Assistant

Reports To: Programs Manager

Customary Schedule: 

School Year Hours (20 hours/week)

Mondays through Thursdays (3 PM – 7 PM) and Saturdays 9:30 AM – 1:30 PM.

May include additional hours as needed for rentals and community events.

Summer Hours will be flexed to not exceed

6 weeks of summer (30 hours/week)

Compensation: Based on experience, ranging from $20 to $24/hour

Position Summary:

The Programs Associate embodies the warmth, professionalism and culture of Destiny Arts Center. This position has two major responsibilities: ensuring the safety of the children and families at DAC while also providing administrative support for onsite and school & communities programs. The candidate must be detail oriented and highly organized with the ability to initiate and follow-through on projects. Additionally, the ability to handle multiple projects simultaneously with a keen awareness of priorities is helpful. The Programs Associate also manages office systems and communicates with parents/guardians, students, visitors and staff upholding Destiny’s “culture of welcome” in every interaction.

Duties and Responsibilities: 

Security/Safety

Ensure safety of DAC by monitoring everyone entering the building
Greet each child and family member, and ensure that each person receives the Destiny welcome upon entering the building
Ensure that children leave with the appropriate person
Ensure that all children are safe while within the facility
Reception & Caregiver Support

Maintain a warm, friendly and helpful demeanor in all interactions
Assist caregiver orientations and support quarterly events onsite for caregiver and community members.
Answer telephones/emails, screen and forward calls, provide program information, take messages and schedule appointments
Assist in sending communications to caregivers and families (through system or emails)
Greet people entering Destiny Arts Center making them feel welcome and attended to and direct them to the proper location
Administrative Support/ Database Management

Assist with student enrollment, fee collection, membership information and all related program records and accounts
Gathering and inputting data for grant tracking and reports, i.e. demographic data and attendance logs
Assist with general coordination of student & parent/guardian survey administration, collection, and data entry, including assessment data that supports organizational evaluations
Gather feedback from classes and synthesize in to usable data for stakeholders
Train in Payroll administration to provide backup support when needed
Organize and distribute documentation from programs, including videos and photographs
General Program Support

Provide class support/assistance when needed. Assist and support teaching artists as needed
Enforce program policies and guidelines
Ensure that students sign in when entering the facility
Help with management of the sale and inventory of all uniforms and merchandise
Prep and maintain program spaces when needed; Help keep entrance area, hallways, studios and outside entryway area neat and organized
Assist with volunteer management as needed
Accountable to cash-management and point-of-sale best practices and expectations
Provide overall administrative support to the Programs Manager
Provide additional support and input into program and curriculum design when needed
Support regular communication with stakeholders: Teaching Artist, Staff, and families
Provide production support for Destiny’s culminating events (Love in Action and Moving for Peace)
Set up and offer simple snacks for students entering the space
Go on a weekly run to the Food Bank to select snacks for programs (access to own transportation is desirable but not required)

A strong commitment to the mission, goals and work of Destiny Arts Center
Highly organized and detail oriented
Self-starter with the ability to work independently
Ability to work to organize and prioritize projects, as well as take initiative
Comfortable working with people of all ages, socio-economic backgrounds, ethnicities, and sexualities
Excellent interpersonal skills necessary to interact with management, staff, and clients (students & parents/guardians)
Comfortable in a multi-task environment with frequent interruptions and short deadlines, and sometimes a high degree of pressure
Intermediate Excel, Word and PowerPoint skills
Experience working in Mac operating systems
Spanish speaking ability is preferred

Physical Demands/Qualifications: 

Walking and/or standing approximately 15% of the day.
Sitting approximately 85% of the day.
Must be able to lift up to 50 lbs. Less than 5% of the day.
Must be able to reach, bend, or stoop. Less than 10% of the day.
Must be able to reach over the head. Less than 10% of the day.
Environmental Conditions:

The environment within the workspace is clean, well lit and free from extremes of temperature and humidity. At times, the incumbent will be required to go out-of-doors and into various parts of the facility subjecting them to variations in temperature and humidity.
