Job Summary:
Minnesota Street Project Art Services is seeking a full-time Senior Shipping Project Manager, with at least 5 years’ experience in a leadership position at a museum, gallery, or art shipping organization. The Shipping Project Manager will exhibit a friendly and approachable demeanor with all Minnesota Street Project clients, staff, and vendors, acting as a positive ambassador for the Art Services department, as well as the overall Project. This person must value teamwork, collaboration, and community. Responsibilities:
- Receive both direct and indirect client inquiries, and respond in a timely manner, producing applicable timelines for jobs; producing estimates, entering pertinent job details, calendaring, and producing and obtaining field documents.
- Manage shuttle requests; providing estimates to clients and Project Managers, and scheduling collections and deliveries in collaboration with our Field Communications and Logistics Manager; creates load plans.
- Identify opportunities for future shipping program expansion, and spearheads development – regional and national shuttles, exclusives, art fairs, international shipping, freight forwarding, courier services, etc. The candidate should be capable of – and invested in – taking the lead on program expansion, refinement, and standards-setting. The candidate should have proven success in building and managing client and professional networks and routing.
- In collaboration with our Field Communications and Logistics Manager and Warehouse Coordinator, prepares art handlers in advance of their assignment and/or supports their needs while in the field, explaining/clarifying the details of the overall job, helping to proactively resolve issues that may arise, and when necessary, handles any client escalations.
- Manage external and internal requests for national and international shipments; sourcing estimates and coordinating shipments through 3rd party vendors; collaborate with various departments to meet client needs and provided timelines – receipts and releases in collaboration with our Warehouse Coordinator, collections and deliveries with Project Managers, and crating and packing with the Crate Shop Manager.
- Source and secure necessary job-related COIs, import/export documents, artwork authorizations, vehicle or machinery rentals, hotel reservations, per diems, and the like.
- Review monthly invoices for managed jobs, ensuring billed charges are within the original quoted range, and fields initial client inquiries, deferring to Manager or Client Services when appropriate.
- Attend weekly departmental meetings, as well as occasional events, meetings, and professional development as requested.
- Perform other related duties as required.
- Available to work 5 consecutive days of the week, between the hours of 8am and 6pm, and occasionally beyond.
Required Skills, Abilities, and Experience:
- Minimum 5 years experience in an art shipping organization, museum, or gallery; experience arranging domestic and international art shipments and knowledge of domestic shipping regulations, as well as international documentation and customs compliance.
- Proven interest and ability to nurture client relationships with empathy and to grow and maintain industry relationships.
- Works well in collaboration with others across departments.
- Outstanding time management: ability to quickly identify and safely resolve problems, ensuring projects stay on schedule, whilst keeping the client and team in communication.
- Demonstrate concern for detail, accuracy, and precise execution of work, while managing time and efficiency of individual and team performance.
- Excellent communication skills, both verbally and written.
- Work well independently and as a team; gracefully shift between warehouse, client, and office settings, whilst communicating along the way.
- Proficient with CRMs, Mac operating systems and software, including Adobe and Microsoft Suites and Filemaker Pro; knowledgeable with the G Suite and Sketchup a plus.
