Venice Arts seeks a full-time Program Outreach + Opportunities Coordinator for its Art Mentoring Programs (AMP) for youth, including Media Arts Education and Creative Pathways. Working under the AMP Program Manager, roles include coordinating all elements of youth and family outreach, ensuring that the process is efficient and effective; building relationships with community partners and serving as the key partner liaison; coordinating student opportunities, including awards, competitions, and scholarships; and ensuring timely direct-to-youth and parent communications. Key responsibilities include:

OUTREACH + RECRUITMENT

● Maintain the outreach calendar, planning key dates for outreach activities and events throughout the year

● Develop outreach strategies and contacts, building strong relationships with schools, teachers, and community partners to meet enrollment goals

● Coordinate and lead presentations, tabling, and other outreach activities, assuring appropriate staffing and effective materials such as student books and other art, brochures, flyers, and presentation decks

● Oversee the digital/physical distribution of outreach materials

● Maintain communication with current students and parents regarding classes and enrollment deadlines

STUDENT OPPORTUNITIES

● Oversee and manage the submission process for awards, scholarships, and outside opportunities including:

       ○ Maintain the Opportunities Calendar

       ○ Notify current students, parents, and alumni regarding upcoming opportunities in a timely manner

       ○ Facilitate communications between students, families, teachers, and partners

       ○ In coordination with the AMP Program Manager, select students/artworks and secure all material (e.g., art, bios, parent permissions, etc.) required to submit for scholarships, awards and other opportunities

CREATIVE PATHWAYS

● Coordinate and plan creative pathway events such as College Day, Creative Career Day, and Portfolio Day

● Coordinate field trips to colleges or creative industry partners

● Coordinate special one day workshops and/or other events related to college readiness and early career exposure.

● Identify and facilitate small groups and 1:1 mentoring between students and mentors from time to time

POSITION DESCRIPTION: PROGRAM OUTREACH + OPPORTUNITIES COORDINATOR ADMINISTRATION

● Master office processes and protocols for all AMP programs including, but not limited to fileserver, database, media management, and equipment inventory/check-out

● Maintain updated “one-sheets” for all processes core to Coordinator’s work effort

● Oversee student check in/check out procedures ensuring the implementations of Child Safety policies

● Work with the Program Manager and comms team to coordinate and/or provide program documentation for communications

QUALIFICATIONS & EXPERIENCE

The ideal Program Outreach + Opportunities Coordinator is a media-based artist; background in photography a plus, with prior experience in community-based arts education preferred. They are well-organized, detail oriented, and a self sufficient troubleshooter. They are proficient with Apple computers and iPads; talent with design and experience with Adobe Suite, a plus. They are personable, have excellent communication skills, and are comfortable working with a wide range of individuals, including youth ages 10-18, families, and partners. The ideal Coordinator is experienced with a variety of business software used for data entry, spreadsheets, and file management; familiar with Google Drive and G Suite required, and experience with Filemaker Pro and/or AirTable a strong preference. Candidates must be able to lift up to 40 pounds. This position requires someone who is bilingual in English-Spanish; strong writing skills in Spanish a plus. This is a 100% on-site, in-person position that requires COVID-19 vaccination
