Foundation Assistant Job Description
Schedule: Wed-Fri. 10am – 6pm, nights and weekends as needed
This is a contract position with potential to become a permanent, full time position

The Foundation Assistant supports arts and cultural programming  as it relates to Saint Joseph’s Arts Foundation. This position offers an excellent opportunity to develop arts administration and programming skills. The Foundation Assistant will work directly with the Foundation Manager and the Saint Joseph’s team to create, promote, execute, and manage year-round, multi-disciplinary arts programming across three locations in San Francisco, Healdsburg and Provincetown, MA.  The Assistant will also support the CFO and Manager with the administration related to the Board of Directors and other non-profit administrative tasks. The ideal candidate should be a quick  and intuitive learner who is interested in joining an extremely fast-paced events driven organization.

 

Tours and Guest Relations

  • Greet all visitors and guests
  • Prepare and maintain materials for all private and self-guided tours of Saint Joseph’s Arts Foundation including current exhibitions
  • Lead tours of Saint Joseph’s Arts Foundation including current exhibitions
  • Schedule and maintain public tours
  • Manage general guest list

Arts Programming and Administration

  • Assist Foundation Manager in researching and seeking out arts organizations, artists and wellness practitioners for programming and events at all three SJAF locations
  • Maintain and track communication with the potential artists-in-residence
  • Assist with the administration and distribution of all contracts and information for artists and partnering organizations.
  • Assist with preparing and collecting invoices, expense and payable reports
  • Schedule and organize meetings with partner organizations and maintain agendas, as needed
  • Work with Foundation Manager and events team as needed to produce programming and events including but not limited to; working with vendors to secure needed equipment for the event, managing RSVP and guest lists, setting and cleaning up equipment, technology, chairs and  artist materials, staffing the program or event, interacting with visitors and guests.

 

Administration for Board of Directors and Fundraising

  • Work with Foundation Manager and CFO to set board and board committee meetings.
  • Prepare the presentation materials, agendas and distribute them to the board members in a timely manner.
  • Take minutes at board meetings
  • Maintain an organized archive of all board materials and distribute any requested materials to board members as needed
  • Work with Foundation Manager and Society Manager to implement membership and development goals throughout the year.
  • Work with Foundation Manager to research and prepare material for foundation and grant applications

 

Arts Programming Archive and Database

  • Work with the Foundation and the Society Manager on maintaining and updating the membership database and email lists
  • Maintain SJAF Programming digital archive
  • Maintain ArtBinder arts inventories
  • Manage the production and maintenance of  video and images of all programming in all locations
     

Qualifications

  • Bachelor’s degree in an arts related field required
  • Knowledge of local and national contemporary arts communities
  • General knowledge of non-profit gallery operations
  • Working knowledge of Adobe Creative Suite, MailChimp, eTapestry (or similar development software program) preferred
  • Ability to work with diverse and multi-disciplinary teams
  • Time-management and organizational skills
  • Strong verbal and written communication skills

Physical/Mental Demands

Must be able occasionally to lift and carry boxes of up to 20 lbs.
Must be able to sit, stand and walk for extended periods 
 

Job Details:

Location: Saint Joseph’s Arts Foundation, with occasional meetings at an close by offsite location 
This job is not eligible for commission. All sales revenue will be credited to Saint Joseph’s Arts Foundation.
