Title: Patron Services Coordinator
Reports to: Executive Director
Status: Part-time / Seasonal (Sept. 2024-June 2025) / Non-exempt
Salary: $21-$23 / hour

Position Summary: The San Diego Master Chorale is seeking a Patron Services Coordinator. This part-time seasonal position helps coordinate the SD Master Chorale’s daily operations in areas including the box office, marketing, development, and administration. Responsibilities include patron services, patron communications, concert box office coordination, and administrative support.

Schedule: This role offers some flexibility based on candidate availability, while also ensuring coverage during box office hours to meet organizational needs. Concert weekends are required (see full list of concert dates at sdmasterchorale.org/2024-25-season).

Work environment: A mix of remote and in-office work is available. Specifics to be tailored to individual needs and box office requirements. In-office work will take place at the new SDMC office located in Mission Valley (2111 Camino del Rio S.). The employee must be able to provide their own transportation to various concert venues across San Diego County.

PATRON SERVICES
This position is responsible for delivering exceptional customer service to patrons, overseeing box office operations, and coordinating patron communications, including:

  • Customer Service – provide outstanding service to patrons and donors, both in the office and at concert venues.
    Box Office Operations – coordinate and oversee on-site box office operations at various concert venues, working closely with volunteers, staff, patrons and the public.
  • Patron Communication – assist with communication efforts, including responding to box office emails, phone calls, and maintaining the patron and donor database.
  • Volunteer Coordination – coordinate in-office and concert volunteers

ADMINISTRATIVE SUPPORT
This position is responsible for providing comprehensive administrative support, including but not limited to:

  • Executive Director Support – assist Executive Director with scheduling, meeting preparation, communication, proofreading, and other tasks as needed.
  • Operational Support – handle day-to-day office operations including communications (phone calls and emails) and other administrative tasks as required to support the smooth functioning of the office.

MARKETING & DEVELOPMENT SUPPORT
This position assists with various marketing and development activities, including:

  • Marketing Communications – assist with preparation and scheduling of marketing materials (direct mail, email marketing, social media and promotional activities).
  • Website and Donor Support – update website as needed, generate donor lists for publication, and process weekly donor acknowledgments.
  • Project Support – Provide support for additional marketing and development projects as assigned.

QUALIFICATIONS

  • Excellent written and verbal communication skills, with the ability to provide exceptional customer service and handle donor and patron communications professionally. Strong phone etiquette and interpersonal skills are essential.
  • Ability to multi-task, prioritize tasks, and manage time effectively in a fast-paced, dynamic work environment. Strong attention to detail is essential.
  • Able to work both independently and collaboratively as part of a team, with minimal supervision. Comfortable managing shifting priorities and taking initiative.
  • Strong working knowledge of spreadsheets, databases, and word processing software.
  • Proficient in operating and troubleshooting standard office equipment, with the ability to handle basic technical support tasks.
  • Experience with basic box office operations is a plus.
  • Experience with updating websites and familiarity with email marketing is a plus.
  • Understanding of basic marketing principles, with experience in social media and donor communications preferred, but not required.
  • A passion for or interest in performing arts is highly valued and will enhance your experience in this role.
