POSITION PROFILE
Under the direction of the Director of Programming, the Member Events Production Manager assists in creating and executing world-class programming for The Battery. This is a key position in a growing Member Events Department that produces and hosts a wide variety of events including live shows, DJs, comedy, films, lectures, wine and spirit tastings, family, holiday, special and sporting events both on and off property. You will oversee all aspects of production and logistics, manage operations, quality control, management of invoices and vendor payments, serve as onsite management?and point person, and champion the collaborative process within the department and company. This is a full-time position, and the working hours will vary depending on the needs of the operations, including nights and weekends when applicable. Work related duties will be done onsite as well as offsite. Up to 10% travel per year. The position is best suited to a dynamic, detail oriented, and self-starting individual with a passion for creating unforgettable experiences.
DUTIES & RESPONSIBILITIES

Event Production & Planning:
• Oversee the entire advancing process and creation of weekly BEOs, run of shows, floor plans, and production schedules for the Member Events team.
• Design a reconciliation process to measure ROI on programming initiatives including attendance/attrition, revenue impact, and check-in impact.
• Liaise with all departments on staffing, Food & Beverage, AV, and furniture needs.
• Manage department invoicing and payment processes, updating the checkbook and forecasting reports.
• Manage staffing levels with the Private Events team.
• Lead efforts to secure new and innovative partners while maintaining relationships with current partners. Manage and optimize the database for easier use.
• Manage and optimize the Creative in Residence program. Vet, hire, and liaise performers for events of all sizes.
• Manage department contract processes including:
○ Creating a system for tracking the status of vendor contracts.
○ Preparing vendor contracts for review and signing by the Director.
• Provide research, design, and production assistance for all special events.
• Keep track of industry trends in program and partnerships to maintain the elevated reputation The Battery has garnered.
Event Management
• Manage onsite events along with other Department Staff. Review room and staff readiness, greet speakers and VIPs, and oversee successful completion of each event.
• Full-scale talent management including greeting, hospitality, and sound check.
• Troubleshoot day-of event issues and rectify them, staying within budget and timeline. Write appropriate recap and apply lessons learned to future events.
• Manage guest lists and keep Front Desk updated on changes or additions. Set appropriate expectations with vendors to not exceed guest limits. Ensure club customs are maintained.
• Ensure that standard, policies, and procedures of The Battery are maintained.
Internal Operations
• Ensure effective interdepartmental communication via daily briefings, written communication, and other scheduled meetings.
• Attend and present at weekly BEO meetings.
• Create furniture movement tasks and layouts for house people.
• Assist the Director of Programming in keeping track of all relevant Programming department information in its applicable documents.
MINIMUM REQUIREMENTS
Must have and be able to do all of the following:
• College degree required.
• Minimum two years of event planning/production.
• Minimum of two years managing or coordinating staff.
• Experience with contract negotiation and rider advancement preferred.
• Budgeting and financial reconciliation experience preferred.
• Familiarity in creating production schedules, with a keen attention to detail.
• Excellent English communication skills, both written and verbal.
• Advanced working knowledge of Microsoft Office and Google Drive.
• Must be able to maintain composure in high stress situations with Members and talent.
• Flexibility with schedule: evenings, weekends and holidays. This position primarily covers nights and infrequently on weekends for special events.
• Ability to work up to 40+ hours per week in a full-time position.
• Can creatively solve problems and effectively implement solutions.
• Excellent time management skills; highly organized and can manage and complete priorities and workflow, be detail-oriented, and work with a sense of urgency.
• Ability to learn and perform in a fast-paced environment.
• Ability to work independently, in a team environment, and able to multitask.
• Responsible Beverage Service certification required.
WORKING ENVIRONMENT/MINIMUM PHYSICAL REQUIREMENTS
You must have the physical, visual, and auditory ability to perform the essential functions of the job, with or without reasonable accommodations and be able to meet the following requirements:
• Must be able to maneuver through all areas of the property.
• Heavy Member/presenter contact is required.
• Must be able to tolerate varying noise levels, temperature, illumination and air quality.
• Requires hand-eye coordination and manual dexterity.
• Requires normal sense or smell, taste, touch and sound.
• Must be able to respond to visual or aural cues.
• Continuously or periodically bend, twist, lean, lift, push, pull, kneel, bend, walk, stand, and/or sit up to 8+ hours per shift.
• Lift up to 50 pounds in order to perform the essential functions.
• Work in a stressful environment and stressful situations.
• Work in an environment where the climate constantly changes.
