REPORTS TO: Senior Manager, Membership & Events

STATUS: Full-time, Hourly, Temporary, Non-Exempt

SALARY RANGE: $20–$25/hour, depending on experience

SCHEDULE:         40 hrs/week, February–July, 2022.

Headlands Center for the Arts is a multidisciplinary, international arts center dedicated to supporting artists; the creative process; and the development of new, innovative ideas and artwork. Where we are is as important as what we do. Our campus comprises a cluster of artist-rehabilitated military buildings, just north of the Golden Gate Bridge at historic Fort Barry in the Marin Headlands, a part of the Golden Gate National Recreation Area.

POSITION DESCRIPTION

Headlands Center for the Arts seeks an enthusiastic and experienced special events administrator to serve in the Development Department as our Benefit Auction Coordinator to support Headlands’ annual Benefit Art Auction. The Auction Coordinator works under the supervision of the Senior Development Manager, Membership & Events, as well as in coordination with other Headlands staff.

 

Headlands’ Benefit Art Auction

Headlands Benefit Auction is the organization’s biggest annual fundraiser and one of the San Francisco Bay Area’s premiere fundraising events, grossing upwards of $700,000 annually in support of Headlands’ mission, artists, and public programs. In 2022, we are planning for two in-person events to take place in San Francisco. We expect these lively, art-filled evenings and art parties to each host up to 250 attendees.

RESPONSIBILITIES OF THE BENEFIT AUCTION COORDINATOR

All of the duties and responsibilities outlined below are essential job functions subject to reasonable accommodation. Manage data for all contributing artists, artworks, and experience packages, including artist pages on auction website, artwork lots in print catalog, online artwork bidding platform, and bid sheets
Coordinate artwork and experience package solicitation to help secure up to 85 museum-quality artworks and experiences
Coordinate shipping and delivery of all artworks to auction site
Coordinate framing of select artworks as needed
Support on-site art installation and event execution, including setup and tear down
Manage post-auction coordination of sold and unsold artwork
Support Senior Development Manager, Membership & Events, with all Auction event logistics, including vendor relations, event production, and guest list management
Coordinate Experience Packages and logistics management

POSITION REQUIREMENTS

Demonstrated awareness, experience, and competence in working with a diverse, multi-racial, multicultural, and socio-economic environment.
Highly organized, detail oriented, and results-driven multi-tasker who communicates effectively and professionally.
Excellent interpersonal, communications, and collaborations skills.
Mastery with Microsoft Office and Google Suite applications required; experience with Adobe Creative Suite and Salesforce preferred.
Minimum two years of experience in nonprofit arts and/or special events
Interest in and familiarity with contemporary art is a plus
Due to our Marin Headlands location, reliable vehicle access is required and essential for frequent auction artwork pickups throughout SF Bay Area and event related errands.

PHYSICAL REQUIREMENTS

Frequently required to talk and hear; stand; walk; use hands to handle or feel; reach with hands and arms
Occasionally required to climb or balance; and stoop, kneel, crouch, or crawl.
Must be able to do extended periods of work at a computer.
Must be able to assist with events, which includes occasional lifting and moving of event materials, up to 25 lbs.
