The Program Coordinator will provide programmatic support for Leonardo/ISAST, ensuring efficient collaboration and communication between internal and external program stakeholders. This position reports directly to the Director of Programs. The Program Coordinator will support the development and implementation of Leonardo’s suite of programs to amplify Leonardo/ISAST’s impact at a time of rapid growth. Areas of focus in the coming year will be our CripTech Incubator fellowship for disability innovation and our international exchange Creative Impact Labs in Jordan and New Zealand.

RESPONSIBILITIES

PROGRAM ADMINISTRATION

• Project management across Leonardo programs.
• Coordinate and implement artist selection processes.
• Conduct program orientation and training with artists.
• Schedule and coordinate meeting and event logistics for virtual and local programming.
• Coordination of accessibility for virtual and in-person events, as well as online collateral.
• Coordinate domestic and international travel logistics for artists and staff.
• Ensure program artists submit all deliverables timely and completely. Collect and organize these materials.
• Coordinate materials and deliverables between stakeholders for program projects, including exhibitions, events, labs, microsites, media.
• Manage and coordinate payments between Leonardo bookkeeper, artists, program contractors, partners. Ensure all financial transactions are complete by term date.
• Serve as secondary point of contact and Director of Program’s backup for all stakeholders.
• Review and log documentation of program activities.
• Collect program monitoring & evaluation data. Support the creation of reports. Refine metrics to monitor and evaluate programs.
• Develop & document program design improvement ideas consistent with strategic plans and established program objectives.
• Work with program staff to write, prepare and submit grant application materials and other funding opportunities.

COMMUNICATION

• Manage content production and publishing for program websites, including updating website content. Oversee ongoing website development with operations, marketing, and contractors.
• Manage artists’ multimedia blog posts, including reviewing uploads, publishing, and cross-posting.
  Collect project-specific images, video, project updates, and stories for program websites.
• Manage outreach and communications with contributors and Leonardo editorial team for publication outcomes of projects, including podcast, special issues, and experimental publications.
• Publish event documentation on Leonardo social platforms.
• Guide artists and partner organizations to craft event promotion materials, and send to program partners for review and further distribution.
• Collaborate with Leonardo marketing and communications to write press releases, gather collateral and produce marketing and promotional material.

QUALIFICATIONS

• 1-3 years of experience in programmatic and/or administrative support.
  Strong attention to detail.
• Ability to proactively identify and creatively solve problems.
• Extraordinary organizational ability and the drive to bring order to information.
• Experience with project management for simultaneous projects on multiple timelines.
• Ability to communicate status updates to multiple stakeholders in multiple formats.
• Capacity to collaborate and communicate with a diverse, distributed team.
• Experience working remotely using collaborative cloud-based apps including Google Suite, ClickUp, and Zoom.
• Experience managing data on Google Sheets or Excel.
• Experience with website CMS such as Drupal.
• Basic HTML and CSS a plus.

COMPENSATION AND BENEFITS

• Full-time position, compensation range: $32,000-$36,000/yr
• 50% contribution to health and 75% contribution to dental group insurance plan
• 10 days vacation, 10 days sick leave, and 6 paid holidays annually

• Remote work options, San Francisco Bay Area preferred but not required
• Flexible hours (to be approved by supervisor)
