Merchandise Coordinator Position

Department: Marketing, PR & Merchandising

Reports to: Director of Marketing, PR and Merchandising

Employment Status: Full-Time (40 hours a week); Non-exempt; hourly, year-round

Hours: Monday through Friday 9:00 AM – 5:00 PM

Must be available to work some nights and weekends during off-season and increased hours, nights and weekends during peak season.

General Description:

Aids in the effectiveness and daily operation of the Marketing, PR and Merchandise Department by coordinating seasonal gift shop and providing administrative support to the Marketing, PR and Merchandise Director.

Merchandise Responsibilities:

· Supports Department Director in the selection and production of merchandise items. Works with designers—or independently creates designs—and coordinates with vendors to produce merchandise within a scheduled timeline.

· Oversees on-site and off-site inventory and maintains merchandise database and schedules

· Communicates with vendors/suppliers regarding orders, deliveries and payments

· Compiles daily sales and inventory reports; analyzes sales trends to inform purchasing and merchandising decisions

· Arranges pickups and deliveries, tracks shipments and unloads merchandise

· Manages visual display of gift shop and inventory closet – arranging, cleaning, and restocking merchandise to create an appealing customer experience

· Coordinates with Sales Supervisor on retail display guidelines and standards for sales staff as determined by Director

· Prepares all purchase orders for approval by Department Director and monitors budget expenditures. Adheres to the company’s purchasing processes and procedures.

· Processes invoices, receiving reports, department transfers and other financial documents

· Prepares consignment forms, usage agreements and other contracts

· Manages online store sales, inputting merchandise, coordinating shipments with fulfillment center and responding to customer inquiries

· Assists in promotional activities and development of signage to support merchandise sales.

· Maintains awareness of changing trends in retail & managing these changes. Assesses competition by visiting other museum and art venue gift shops, gathers information such as style, quality, and prices of competitive merchandise.

· Coordinates with Accounting Department to manage inventory and operational point of sale (POS) System

· Trains on cash registers to back up sales team and assist with customers during busy periods and/or as needed.

Administration Responsibilities:

· Organizes and maintains physical and digital files, archives and contact lists

· Scans documents and photos for archives

· Copy-edits, fact checks and reviews internal and external communications

· Coordinates donation requests and processes tickets with box office (including VIP night and sponsor tickets)

· Assists with special events

· Answers the general marketing phone line

· Other duties as requested

Qualifications:

· 3-5 year’s prior experience

· High School diploma required. AS/Bachelor’s degree preferred

· Strong computer knowledge, specifically with databases and spreadsheets. Proficiency with Microsoft Office Suite, and ability to learn new software and PO systems quickly. Very strong MAC and PC skills. Experience with Airtable and Canva a plus.

· Experience with graphic design or visual merchandising, including familiarity with creating product layouts and a strong eye for design and detail

· Previous retail or merchandising experience is preferred

· Strong project and time management skills; proven success meeting strict and completing deadlines

· Demonstrate excellent communication and organizational skills as well as a keen attention to detail

· Able to use discretion and maintain confidentiality

· Able to manage day-to-day activities while focusing on long-term events and planning.

· Must be able to meet physical demands of job to include walking, standing, climbing, bending, kneeling and lifting and move or lift objects up to 40 lbs

· Must be able to work flexible hours including nights, weekends and holidays during the pre-season and summer season and at the needs of the business

Compensation and Benefits:

Competitive pay. $26-$28 per hour plus generous benefit package with medical, dental, and vision, 403(b) with match, paid vacation, sick time and holidays.
