Administrative Assistant, Offices of the President and Executive Vice President
One of the premier cultural institutions in Los Angeles is looking for an Administrative Assistant to support its leadership team. Reporting directly to the President and CEO of the Skirball Cultural Center, Jessie Kornberg, and the Executive Vice President, Leslie K. Johnson, and working closely with their Executive Assistant, Susy Rosales, this individual will serve in a critical role at an exciting moment in the institution’s growth providing core administrative responsibilities, including scheduling, correspondence, office logistics, and record keeping.
Starting salary range: $22–25 per hour
Responsibilities
· Act as gatekeeper and savvy time organizer to ensure effective calendaring, meeting schedules, and equitable prioritization of leadership time towards department needs.
· Represent the leadership team in communications regarding scheduling, meeting requests, and other inquiries from employees, board members, donors, community partners, and audience members. Respond/redirect to administrative requests from other departments.
· Draft donor acknowledgment correspondence.
· Provide administrative support for various organization-wide, cross-departmental, and project-level efforts—arranging meetings and retreats, organizing and disseminating notes and materials, coordinating effective teaming, communicating, tracking, and reporting.
· Assist the President and Executive Vice President with travel arrangements, meeting logistics, reimbursements, and presentations.
· Maintain governance and office files, including corporate documents, donor records, board meeting materials, contracts and vendor agreements, companywide calendars and planning timelines, and financial records.
· Assist with the digitization and digital organization of historically paper files.
· Assist with the recording of donor data in the Skirball’s donor database.
Qualifications, Experience, and Attributes
Minimum three years in an administrative support role or equivalent experience where trust, discretion, and expert communication skills were regularly required
A demonstrated commitment to the mission of the Skirball Cultural Center, specifically to the value of welcoming the stranger and the American democratic ideals of freedom and equality
English and Spanish language fluency preferred but not required
Superior oral and listening communications skills—including editing and proofreading
The ability to work effectively with people of diverse identities, cultures, ages, and economic backgrounds
Excellent IT tool proficiency and demonstrated ability to use Office 365 applications, Adobe Acrobat, Altru, Ungerboeck, or equivalent software; proficiency with computer research and data management.
Strong attention to detail and proven ability to organize tasks, resolve problems, exercise good judgment, take initiative, follow through, multitask, and manage a changing and varied workload
Experience and contacts within the Los Angeles arts, culture, and entertainment communities
