FLSA Status:            Full-time, Exempt

Pay Scale:                  $65,000 – $72,000

Schedule:                  Eligible for Hybrid Schedule after completing training period

 

Summary:

The Payroll Specialist provides support to the Payroll & Benefits Manager. The Payroll department is responsible for processing payroll for over 300+ staff, faculty, and student workers. This position supports the Payroll & Human Resources Departments and works independently on special projects. Assignments may vary according to the school’s business needs.

 

Essential Duties and Responsibilities:

  • Assist in the bi-weekly payroll process via ADP Workforce Now (WFN). Process includes: Preparing payroll information and updates, reviewing online timesheets, processing employee changes, providing Payroll & Benefits Manager with all updates
  • Track and enter in ADP WFN: employee vacation, sick leave, other PTO and LOAs
  • Contact various department supervisors regarding any missed employee ADP WFN digital timesheet entries and make adjustments as needed
  • Assist employees with daily questions regarding their payroll, ADP WFN password and username, etc.
  • Perform daily payroll department operations
  • Work with Human Resources and/or Academic Affairs to obtain changes that may affect payroll, such as: salary/rate, department, title changes
  • Work with Financial Aid office to process and maintain accurate work hours for work study students
  • Assist with employee and work study data entry in various systems
  • Administer ADP Time & Attendance training to new and returning work study students
  • Assist work study students with payroll issues
  • Follow up on stale-dated employee paychecks
  • Assist Payroll & Benefits Manager with verifying and gathering data for annual reporting of 1095, 5500, 401k Audit and W-2
  • Run reports and generate data as needed to support the Payroll department
  • Maintain consistent and organized digital and hardcopy Payroll files, records, and databases
  • Assist Payroll & Benefits Manager with various research projects and/or special projects
  • Assist with monthly payroll and benefit deductions related invoices and statements
  • Assist with the termination process, including gathering information for final check
  • Assist Payroll & Benefits Manager with various administrative duties, including filing and data entry
  • Assist the Chief Finance Officer organize information for quarterly meetings of the Board of Trustees, and submissions for the Board meeting report
  • Research and answer frontline employee requests, including, but not limited to, payroll, paycheck deductions, and paycheck issues, and redirecting employees to appropriate contacts if necessary
  • Deliver high employee service by offering solutions and effectively problem-solving questions or concerns raised by employees
  • Keep apprised & updated on new Payroll regulations, company policies and procedures
  • Other duties as assigned

 

Qualifications:

  • Bachelor’s degree in Business Administration or Human Resources
  • A minimum of 2-4 years’ experience as an HR or payroll assistant and or office administrative role
  • Experience working with ADP Workforce Now required
  • Ability to process and manipulate spreadsheets of data, including exporting and importing form ADP Workforce Now payroll system
  • Highly proficient in using intermediate to advanced functions in Microsoft Excel (use of Pivot Tables, VLOOKUP, IF MATCH, INDEX MATCH, etc.)
  • Experience with both exempt and non-exempt employees (300+)
  • Strong knowledge of federal and state regulations
  • Must be able to handle confidential information and interact with all levels of faculty, staff, and students in a professional manner 
  • Listen and communicate clearly and concisely, both orally and in writing
  • Must have high attention to detail, able to work independently
  • Knowledge of payroll rules is highly preferred
  • Proficient in Word and Outlook
  • Ability to work with many different personalities
  • Exceptional follow-through, attention to detail and good with numbers
  • Extremely flexible, highly organized, and able to easily shift priorities
  • Experience working in a creative or educational environment is preferred
  • Proactive, bright, and innovative individual who demonstrates good judgement
  • A “can do” customer service attitude
  • Ability to prioritize, multi-task and work efficiently
