Program Manager
San Jose Jazz

To keep participants in school, out of gangs, and on the road to becoming positive contributing members of our community. We currently seek an exceptionally well-organized, friendly and efficient Program Manager to lead day-to-day Progressions operations at two school sites in the Franklin-McKinley School District.

Roles and Responsibilities

Logistics, Coordination and Supervision – Plan, coordinate and supervise the After-School Coordinators across all Progressions sites. In coordination with Program Director, Manager will ensure that the various admin projects are conducted and executed in a timely manner. Scope of After-School Coordinator supervision will include (but not be limited to): 

  • Oversee tracking and follow-up on daily attendance
  • Maintain accurate supper records
  • Conduct ongoing program-related data entry
  • Engage in ongoing program-related communication
  • Collect all field trip permission slips and other compliance-related documents
  • Facilitate strong site-level communications
  • Facilitate communication between site team members, school administrators, and school staff
  • Student Relationship Development and Discipline – Oversee student behavior and discipline in coordination with teachers and after-school coordinators:
  • Work across sites to develop personal relationships with all Progressions students
  • Uphold and enforce the Progressions Code of Conduct
  • Work with site teams to address student behavioral issues through the Progressions Progressive Discipline Policy
  • Communicate with teachers, students and parents as appropriate
  • Parent Communication and Outreach – Implement parent communication strategies through in-person conversations, phone calls, texts and memos:
  • Make parent phone calls (or delegation to After-School Coordinators) to inquire about student absences, enrollment status, or give updates to parents.
  • Receive parent phone calls, text to inquire about program scheduling, logistics, etc.
  • Coordinate student, parent and Progressions team member communication about site schedules (modifications to daily schedule by semester, modified days for conferences, field trips, performances, etc.)

Monitoring and Evaluation and Compliance – Ensure the right systems and structures are being built to capture relevant data for monitoring and evaluation purposes:

  • Oversee administration of all teacher, student and parent assessments and surveys
  • Oversee supper reporting
  • Submit a quarterly analysis of program attendance
  • Program Director Support
  • Collect, organize and communicate key information about daily program
  • Serve as liaison between After-School Coordinators and music instructors to ensure smooth communication and a clear overall program direction and management

Qualifications

  • Bachelor’s Degree
  • Bilingual English/Spanish
  • Experience working with youth from low-income backgrounds
  • Strong computer skills with ability to design outreach materials and manage data using Excel
  • Experience with database management
  • Exceptional organizational skills and detail-oriented
  • Ability to communicate effectively with a diverse constituency
  • Willingness to work collaboratively with others
  • Flexibility to adapt mid-course if the current strategy is not working
  • Work Hours – 30-35 hours per week during the school year
