ABOUT THE CALIFORNIA INSTITUTE OF THE ARTS

California Institute of the Arts (CalArts) has a multidisciplinary approach to its studies of the arts through six schools: Art, Critical Studies, Dance, Film/Video, Music and Theater. CalArts encourages students to explore and recognize the complexity of the many aspects of the arts. It is supported by a distinguished faculty of practicing artists and provides its Bachelor and Master of Fine Arts students with the hands-on training and exposure necessary for an artist's growth. CalArts was founded in 1961 and opened in 1969 as the first institution of higher learning in the United States specifically for students interested in the pursuit of degrees in all areas of visual and performing arts.

ABOUT THE CALARTS COMMUNITY ARTS PARTNERSHIP

The award-winning CalArts Community Arts Partnership (CAP), a co-curricular program of CalArts, offers free, after-school and school-based arts programs for youth ages 6-18 in every discipline taught at CalArts. Programs are offered at public schools, community centers and social service agencies, covering a thousand square mile radius across Los Angeles County. With classes led by a teaching corps of accomplished CalArts faculty, alumni and student instructors, CAP participants learn to create original works of art and to experiment with prevailing conventions of artistic expression. CAP’s success has served as a model for other arts education organizations locally and nationally, and the program has received numerous honors, including The President’s Committee on Arts and Humanities’ National Youth Program Award, which recognizes exemplary programs that foster the creative and intellectual development of America’s children.  

ABOUT THE CAP ARTSCORPS PROGRAM

The CAP ArtsCorps Program places over 50 ArtsCorps Members—CalArts undergraduate and graduate students—at one or two summer arts programs in Los Angeles County where ArtsCorps Members teach the arts to high-need, underserved youth who live in low-socio-economic neighborhoods in Los Angeles County or whose public schools score beneath the statewide average for arts instruction. 

The ArtsCorps Program takes place during the summer months at one or two high schools in Los Angeles County. Over the course of the summer academies, high school aged youth take classes in acting, animation, creative writing, dance, music, film and visual arts. Classes are taught by CalArts Faculty and alumni, who serve as lead instructors, and ArtsCorps Members, CalArts students, who serve as assistant instructors.

ArtsCorps Members receive training, mentorship and coaching in preparation for their teaching service over the summer. In addition, their responsibilities include:

 

  • Recruiting high need youth for CAP Programs; 
  • Providing instruction in their artform; 
  • Providing high-need youth with structured mentorship activities in building portfolios, auditioning and submitting work to festivals; 
  • Offering mentorship in college and career attainment, including scholarship and college applications, and internship and job applications; 
  • Creating supplemental educational materials online; and 
  • Documenting youth work and achievements in a teaching journal.

 

ArtsCorps Members receive a living allowance from AmeriCorps during the course of their service. They also receive the Segal Educational Award from AmeriCorps upon completion of their AmeriCorps assignment.

The ArtsCorps Program is administered by CaliforniaVolunteers and sponsored by the Corporation for National and Community Service.

POSITION SUMMARY

The CAP ArtsCorps Manager (ACM) oversees the management and daily operations of the ArtsCorps Program within the CalArts Community Arts Partnership. Core responsibilities include:

  • Coordinating logistics for ArtsCorps program sites
  • Implementing day-to-day compliance with AmeriCorps guidelines
  • Managing the recruitment, onboarding, placement, orientation, training, mentoring, supervision, and assessment of each member
  • Overseeing Member fulfillment of AmeriCorps requirements
  • Helping each Member transition from service upon completion

This position has many moving parts and requires a broad range of experience with the primary focus on performing administrative and operational responsibilities. As the ArtsCorps Program is in its infancy, the position requires a highly motivated self-starter with experience in developing and building operational processes, while moving forward on programmatic work. Previous program management experience, as well as strong database management and computer skills are required. The ACM position requires attentiveness to detail, multi-tasking abilities, and a commitment to seeing projects and assignments through to completion. To succeed in this position, the ACM must enjoy the nature of administrative and operational work, and understand the vital importance this role plays in developing career pathways in the arts for youth participants and career pathways in teaching and community engagement for CalArts students. 

POSITION TIMELINE

Coordinating logistics for the CAP Summer Academies takes place primarily in the fall. Recruiting, selecting and onboarding ArtsCorps Members occurs in the fall and winter. Recruiting and selecting youth participants for the summer academy takes place in the winter and spring. Training and managing ArtsCorps Members occurs in the late spring. Implementing the 4-week long arts academy takes place during the summer. 

POSITION RESPONSIBILITIES

ArtsCorps Placement Site Management

  • Coordinating logistics for the CAP Summer Academies, including recruiting participants, scheduling programs, ordering equipment and supplies, managing program load-in and load-out; organizing and arranging field trips; arranging transportation; and serving as the first point of contact for program site administrators on logistics.
  • Managing and implementing the participant recruitment and application process, in collaboration with the CAP Youth Services Coordinator.
  • Managing program inventory in collaboration with the CAP Administrative Coordinator, including logging inventory, organizing supplies, and reporting what’s needed, missing, broken, or lost.
  • Overseeing vendors hired by the program, including caterers, suppliers and technicians.
  • Establishing and maintaining professional communications with program site staff about programmatic needs.
  • Coordinating with partner staff on all aspects of the CAP Summer Academy, including setup and cleanup times, program activities, and materials and supplies.
  • Arranging pre-program site visits of site locations.
  • Organizing and managing the first-day summer academy orientation event for participants and their parents.
  • Overseeing the distribution of lunches and snacks during the program day.
  • Overseeing ArtsCorps Member implementation of college and portfolio fairs for participants.
  • Planning and producing culmination events in collaboration with Lead Instructors and ArtsCorps Members, including film screenings, readings, exhibitions and performances.
  • Implementing procedures and practices for the management of the culmination event.
  • Creating a safe learning environment for CAP youth participants and instructors.
  • Abiding by the rules, regulations, policies and directives of CalArts and CAP as they now exist or as may be adopted by CalArts and/or CAP during the appointment period.
  • Ensuring that instructors follow all CAP Policies & Procedures at summer program sites.
  • Ensuring the documentation of program activities through video, photography, interviews, surveys, etc.

ArtsCorps Member Recruitment, On-Boarding & Retention

  • Recruiting ArtsCorps Members, including developing recruitment materials, conducting information workshops, and responding to applicant queries.
  • Developing, disseminating and collecting member applications, scheduling and conducting interviews, and helping to select Members.
  • Coordinating the new Member onboarding process including overseeing and implementing the background check process in collaboration with the CAP Finance & HR Manager; conducting pre-service orientations; generating and issuing Member service contracts; and enrolling members in the My AmeriCorps online portal.
  • Ensuring adequate enrollment in the ArtsCorps Program.
  • Ensuring Member completion of timesheets and fulfillment of appropriate target hours. 

ArtsCorps Member Training

  • Conducing training sessions for ArtsCorps Members on AmeriCorps’ history and goals, policies and procedures, and prohibited activities.
  • Working with the Managing Director to arrange and schedule pedagogical trainings for ArtsCorps Members. 

ArtsCorps Member Management

  • Mentoring ArtsCorps Members, and supporting their career and personal goals as well as their growth, and developing meaningful and respectful one-on-one relationships with ArtsCorps Members that are based in empathy and compassion.
  • Providing guidance to ArtsCorps Members in promoting their classes, recruiting participants, assessing and documenting participant outcomes, drafting program reports, organizing public culmination events, and documenting their pre-service teaching experiences.
  • Monitoring ArtsCorps Member fulfillment of AmeriCorps requirements.
  • Interpreting and effectively explaining AmeriCorps policies and procedures to ArtsCorps Members.
  • Ensuring Member service activities align with program service agreement, performance measures, outcome targets and program expectations.
  • Tracking member service hours and managing member activity reporting through timesheets.
  • Retaining members in the ArtsCorps Members Program.
  • Creating and maintaining ArtsCorps Members files, databases and records in accordance with AmeriCorps guidelines.
  • Communicating with Members through social media campaigns and blogs.
  • Maintaining an environment of continuous improvement by assessing member performance, and conducting end-of-term performance reviews.
  • Assisting ArtsCorps Members in completing a Professional Development Plan that includes skills and values assessments, and action steps for fulfilling their career goals.
  • Documenting activities and pro-actively addressing Member activity compliance issues with the AmeriCorps grant.

AmeriCorps Grant Compliance

  • Working with the Managing Director to ensure AmeriCorps program data quality, including assisting on the consistent and accurate collection, analysis and validation of program performance.
  • Creating and maintaining operational procedures in accordance with AmeriCorps guidelines.
  • Providing uniform guidance for AmeriCorps Members.
  • Ensuring adherence to AmeriCorps policies and procedures.
  • Participating in training at the annual CaliforniaVolunteers conference.
  • Drafting and maintaining a handbook of policies and procedures for Members in alignment with AmeriCorps guidelines
  • Conducting program site visits and documenting site visits.
  • Soliciting and collecting program feedback from AmeriCorps Members, program and recipients and utilizing feedback to improve the program on a continuous basis.

REQUIREMENTS

  • Three-to-five years of professional work experience in coordinating arts education programs or youth services programs at schools and/or community settings is required. Experience must include managing participants, onboarding personnel; developing and implementing administrative policies and procedures; managing teaching artists; planning schedules; determining assignments; and coaching personnel.
  • Three or more years of professional experience administering or coordinating a national service program (i.e. AmeriCorps, Peace Corps, etc.) is highly preferred.
  • Previous experience working on federally funded grant projects and specific familiarity with AmeriCorps regulations is highly preferred.
  • Previous professional experience in higher education, specifically student development and programming, experiential education or service-learning facilitation is ideal. 
  • Successful experience working as part of a multidisciplinary team and working effectively with persons from diverse cultural, social and ethnic backgrounds is required.

QUALIFICATIONS

  • Bachelor's degree in a related field AND five years administrative/coordination experience; OR, Master's degree in field appropriate to area of assignment AND three years administrative/coordination experience; OR Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
  • The ACM will be required to undergo initial and ongoing training on AmeriCorps program requirements and compliance with all AmeriCorps policies and regulations, and restrictions on prohibited activities.
