Administrative Manager
Thingamajigs

The board and the Executive Director (ED) seek a strategic, and process-minded individual with experience in key administrative planning and execution. The AM will be required to help Thingamajigs organize and conduct its various programs seamlessly. The AM will oversee the high-level plan for each program, that typically involves budget allocation/fund distribution, artist coordination, host/venue/partner coordination, promotion/marketing, volunteer engagement and final execution. The person will coordinate with other staff members to ensure all components of a program are aligned with the master plan.

The breakdown of the tasks is as below:

GENERAL ADMINISTRATION - IN COORDINATION WITH THE EXECUTIVE DIRECTOR

  • Manage tasks, schedules and responsibilities of staff, artists, contractors, interns and board; coordinate meetings
  • Coordinate with external parties such as schools, host/venue companies or partner organizations
  • Assist in annual program budget allocation process

PROGRAM MANAGEMENT - IN COORDINATION WITH PROGRAM MANAGER, EXECUTIVE DIRECTOR, ARTISTIC DIRECTOR & COMMUNICATIONS DIRECTOR (THE PROGRAM TEAM)

  • Facilitate financial resources dedicated to programs and festivals in close cooperation with Artistic Director and Program Manager
  • Develop and manage media plans and advertising partners/sponsors
  • Maintain a calendar of upcoming events, activities and workshops
  • Regularly discuss and assist Communications Director in program promotion and marketing
  • Assist The Program Team in production of public events, including, but not limited to setup, strike, merchandise, box office, concessions, and ushering
  • Manage financial transactions, including ticketing and box office cash

FUND MANAGEMENT (GRANTS, DONATIONS & SPONSORSHIPS) - IN COORDINATION WITH EXECUTIVE DIRECTOR & COMMUNICATIONS DIRECTOR:

  • Assist in design and management of fundraiser campaigns (includes donations & sponsorships)
  • Track donor and sponsorship activity
  • Acknowledge donations per IRS requirements
  • Assist Executive Director in Grant Management

PEOPLE MANAGEMENT (VOLUNTEERS, INTERNS & SPECIAL HIRES) - IN COORDINATION WITH EXECUTIVE DIRECTOR & COMMUNICATIONS DIRECTOR

  • Manage the volunteer requirement for events & activities
  • Manage allocation of tasks to each volunteer
  • Identify and update ED on any new requirement for an intern, hire or volunteer

Key Qualifications/Skills

The successful candidate must be driven by the mission of Thingamajigs. Individuals with prior experience in nonprofit management will be preferred. Other requirements are:

  • Ability to balance program scope against the realities of a budget; and problem solving, project management, and creative resourcefulness
  • Ability to think strategically, anticipate future consequences and trends, and incorporate them into the organizational plan
  • Ensure the various programs are conducted smoothly
  • Understanding of administrative tasks in a nonprofit organization; experience with business functions and systems, such as strategic development and planning, budgeting, information systems, volunteership, and marketing
  • Experience in writing grants and other non-profit communication material will be an advantage

Proficiency in Digital Tools

  • Office management web tools - Google Drive, Google docs/sheets
  • Documentation tools - MS Office or similar product suite
  • Basic email communication experience (Thingamajigs uses Google Apps)

Time commitment/Compensation

Fee-for-service - independent contractor role, estimated at 15 hours/week (may vary during an event or festival); AM will primarily work-from-home and will be part of weekly meetings with other staff members at a designated office space.
